Preparing Contact Lists in Hubspot

HubSpot does not support API connections to sequences. While we do not pull down your sequences directly, you are still able to pull down tasks from your open sequences. For more information on how to dial from Hubspot sequences visit X

Choose the type of HubSpot List

HubSpot supports creating two types of lists, Static and Active.

  • Static list: Does not update as new contacts meet or existing records no longer meet the criteria

  • Active list: Automatically updates contacts so new records will join the list whenever they meet the set criteria and leave the list when they no longer meet the criteria (recommended)

We typically recommend that our users dial from Active lists with filters around dispositions and activity

Create a list in HubSpot

Keep in mind, creating lists in your Hubspot instance may depend on your current user roles and permissions

  • Sales reps can generate their own individual lists or

  • Managers will need to create unique lists for them using ‘Contact owner’ for whom they want to own the tasks.

In HubSpot, you'll need to

  1. Navigate to ‘Contacts’, and under the dropdown select ‘Lists’

  2. In the top-right, select ‘Create List’

  3. Select ‘Contact-based’

  4. Give the list a unique name and select what type of list you’d like to create (Static or Active)

Customize and add filters to the list

We recommend you add filters to your lists, especially when active, to ensure the success of your outbound call strategy.

Here are the main filters we recommend to start dialing.

  • Contact owner: This will ensure that the list of leads will have been assigned to you or the specific sales rep

  • Last activity date: The last time there was any completed activity with this contact

  • Call Outcome or Activity Outcome: This will help make sure your reps aren't reaching out to any prospects who have already been contacted with certain dispositions
