The Wallet is a fully dedicated environment within the Obypay Loyalty back-office. It brings together all the features related to your customers' digital currency : Bankrolls, bankrolls, prepaid cards, gift cards, cashback and cashless. You will find it in the left menu, under the Bankrolls entry.
Do not confuse Wallet and Pass Wallet
Wallet (this article) — your customers' digital money within Obypay: bankroll, cashback, prepaid card, gift card. This is the content.
Apple Wallet / Google Wallet Pass — the dematerialised loyalty card that the customer adds to their phone's card wallet (iPhone: Apple Wallet, Android: Google Wallet). It displays their points, level, and bankroll balance.
Why a dedicated Wallet environment ?
Unlike loyalty points (which reward behaviour) or CRM campaigns (which drive marketing activity), the Wallet manages real monetary value held by your customers: one euro credited to a bankroll = one euro to spend in your establishment. This requires its own logic: accounting traceability, validity periods, financial reporting, batch and card management.
This is why the Wallet has its own interface, its own rules and its own indicators.
The Wallet structure at a glance
Bankroll — The global "vault" of your establishment. It contains all the bankrolls issued and represents the total funds in circulation.
Bankrolls — The functional sub-sets of the Bankroll: cashback, cashless, prepaid cards, gift cards, welcome bankroll, birthday bankroll, etc. Each bankroll has its own rules (validity, conditions of use).
Bankroll batches — Groups of bankrolls created in bulk (for example a batch of 100 gift cards to offer during a campaign).
Management tabs — Each Bankroll exposes 4 views: History (transactions), Reporting (available funds, movements), Gifts and Bonuses.
How to activate and configure the Wallet
1. Activate the bankroll on your program
Go to Loyalty then integrate the Bankroll into the program. Define the main mechanic : automatic cashback on orders, rechargeable cashless, or both.
2. Set the validity periods
In Bankrolls > Edit, configure the validity days by type. A good practice: longer periods for gift cards (12 months), shorter for cashback (3 to 6 months) to stimulate return visits.
3. Credit the bankroll
Several channels are possible :
From the till — During checkout, the operator directly credits the customer's bankroll.
Manually on a contact — Via the contact record, to manage a goodwill gesture or compensation.
By Excel import — To credit a large volume of customers at once (campaign, B2B operation).
Automatically — Via cashback rules or CRM automations (welcome, birthday, end of year).
4. Create prepaid or gift cards
From the Bankroll tab, click on Create cards to generate a batch. Choose the amount, validity period, and distribution channel (physical or digital, Apple Wallet and Google Wallet supported).
Use cases and best practices
Loyalty cashback — 3 to 5% automatically credited to the bankroll with each order. This is the simplest mechanism to bring a customer back: they already have "their money" with you.
Prepaid card for regulars — Offer regular customers the option to top up their bankroll with a bonus (e.g. €50 topped up + €5 offered). You secure revenue in advance.
Gift card to acquire new customers — Sell or offer digital gift cards at year end, during the festive season or for B2B operations (seminars, works councils).
Incentive bankroll — Automatically credit €5 for a birthday, €10 after the 5th visit, or €3 during a quiet period to boost footfall.
Top-up bonus — Configure incentive mechanics ("+ 10% offered on any top-up over €50") to increase the average prepaid basket.
Managing your Wallet on a daily basis
History — Track credits and debits on each bankroll in real time. Essential in case of a customer query ("I can't see my balance").
Reporting — Measure available funds, amount used, amount expired. Export the data from the tab to send to your accountancy.
View active transactions — Visualise bankrolls in circulation: useful for anticipating cash flow related to funds to be honoured.
Before launching your Wallet
Test end to end — Credit a test bankroll, make a payment, check the balance display on the customer side and the till side. Since the wallet handles real money, the experience must be flawless.
Train your team — Your waitstaff and cashiers must know how to credit, debit, explain a balance and handle a bankroll dispute.
Communicate to your customers — Social media, website, in-room displays, emails. A wallet that isn't communicated about = a wallet that isn't used.
