Custom Emails: Creating a Campaign From Scratch

Step 1: Navigate to Campaigns

  1. From the dashboard, go to Marketing > Promo Campaigns.

  2. The old Promote page has been renamed to Promo Campaigns.

  3. Click Create New Campaign (will be renamed Create Custom Email in future updates).


Step 2: Complete the Main Campaign Info Screen

Push Create New Email.

You must fill out every required field on this screen before scheduling. Completed sections show a green checkmark.

  • Campaign Name → Enter a unique name for your email.

  • Email Subject → Add the subject line for the email.

  • Segment → Select one audience segment to send the email to.

    • Segments are listed by the number of contacts.

    • Only one segment can be selected per campaign.

  • Reply-To Email → Choose the email address replies should go to (defaults to the box office contact).

  • Send Time

    • Select Send Now to send immediately.

    • Or choose a specific date and time (shown in 15-minute increments).


Step 3: Select an Email Template

  1. Click Add Email Template.

  2. Choose from three options:

    • Default Templates → Pre-designed email formats (may not yet be uploaded).

    • Basic Layouts → Simple image-and-text block structures.

    • Saved Custom Templates → Templates you’ve created previously.

  3. If you select a basic layout or custom template, you’ll be prompted to label the type of email (e.g., newsletter, announcement).

  4. After selecting your template, you’ll move into the email editor.


Step 4: Customize the Email in the Editor

The editor offers a robust set of design and customization tools:

  • View Modes → Switch between mobile and desktop previews (defaults to mobile).

  • Design Controls → Adjust background colors, fonts, and overall styles.

  • Add Components:

    1. Hover above or below existing sections and click the plus (+) button.

    2. Choose from images, text blocks, buttons, dividers, and other content types.

    3. Use the right-side panel to upload images, edit content, and customize settings.

  • Move, Copy, or Delete Sections → Hover over a block and choose the appropriate icon.

  • Upcoming Events Component:

    • Auto-populates event details (images, dates, descriptions, and CTAs).

    • Use the right panel to choose which productions to display.


Step 5: Send a Test Email

  1. Save your email first.

  2. Click Send Test Email to preview how it looks in your inbox.

  3. Verify formatting, images, and links.


Step 6: Save and Schedule the Campaign

  1. Click Save to store your email draft.

  2. If all fields are complete, you’ll see the option to Schedule the campaign.

  3. Confirm the date and time if applicable.

  4. Your email will be sent to the selected segment as planned.
