What Are Plays? A Guide to Automated Patron Emails (Beta)

Welcome to Plays, On The Stage’s new automated marketing feature designed to help you deepen patron relationships, boost revenue, and save valuable time. Plays allow you to automatically send targeted, relevant emails to your patrons based on actions they’ve taken—no manual setup, no extra steps. Just set your preferences once, and we handle the rest.

Each automation is called a “Play”, and you can turn them on, customize the details, and watch your patron engagement grow.


🎬 Available Plays

We’re launching with six Plays—and more are on the way next year!

1. Send Thank You Promo

Automatically sends a warm Thank You email to brand-new patrons, optionally including a custom promo to encourage a return visit.

2. Announce New Events

Whenever you publish a new Production, this Play automatically sends an announcement email to your audience.

3. Reengage Lapsed Patrons

Targets patrons who haven’t purchased in a while, inviting them back with a friendly reminder (and optional incentive).

4. Subscription Invitation

Reaches highly engaged patrons—those who’ve purchased X tickets within X months—and encourages them to level up to a subscription.

5. Donation Request (Ticket Buyers)

Automatically messages top supporters who have purchased multiple tickets recently, inviting them to contribute with a donation.

6. Donation Request (Subscribers)

Targets your most active subscribers—those who’ve attended X shows within X months—and sends a tailored donation request.


🎨 Customization Options

Every theater is unique—your Plays can be too.

You can customize:

  • The number of tickets required to trigger a Play

  • The time window in which patron actions must occur

  • The email content and messaging

  • Promo rules (if applicable)

This allows you to match each Play to your audience’s behavior and your organization’s goals.


💸 Promo Codes (Optional, but Powerful)

Some Plays allow you to include a personalized promo code in your emails. These codes are:

  • Fully customizable (% or $ off)

  • Time-limited (1–12 months)

  • Restricted by type (“Entire order” or “Ticket order only”)

  • Generated uniquely per patron, so they can’t be shared or misused

  • Single-use only

  • Hidden from your main Promos page to avoid clutter

Example:
If your Thank You Play sends a 25% off promo good for 3 months, each patron receives their own one-time-use code that expires 3 months after their email goes out.


📬 Send Rules

Each Play follows its own logic for when emails go out:

  • Weekly Plays (e.g., Announce New Events)

  • Once-per-year Plays (e.g., Donation Requests)

  • Others that trigger when their criteria are met

Detailed rules will be provided in the testing docs for each individual Play.


🧭 Where You’ll Find Your Plays

Plays appear across various parts of your dashboard so they’re always within reach:

  • Homepage: Quick snapshot of your Plays

  • Playbook page: The master control center

  • Contextual pages: Such as Contacts, Subscriptions, and more—showing only Plays relevant to that section


👥 Who Gets Plays?

All On The Stage customers have access to Plays. We built this feature to help you grow revenue and patron loyalty—whether you’re a school program, community group, touring company, or fully professional theatre.
