How to customize the Job Pipeline
This article will walk you through all the settings available on the Job Pipeline page, allowing you to fully customize how your recruitment pipeline is visualized and analysed within OneUp. Understanding these settings is key to ensuring accurate reporting and gaining valuable insights into your team's performance.
How to find the Job Pipeline Settings page:
Navigate to Manage in the main menu, and then Customize OneUp.
On the Job Pipeline page, you'll be able to map your pipeline stages and metrics. Find details below.
Pipeline Stages and Conversion
This section allows you to define and manage the various stages of your recruitment process.
Placement and Rejection:
Placed: Here, you select the metric within OneUp that signifies a successful placement (e.g., "Total Placements"). You can also customize the Label as field, which will be the name displayed on your pipeline view.
Label as: This field lets you rename the "Placed" stage as it appears in OneUp. For example, you might want to label it "Hired" or "Successful Placements."
Rejected: Similarly, you select the metric that indicates a candidate has been rejected or has dropped out of the process. Customize the Label as field to match your internal terminology.
Label as: Use this field to rename the "Rejected" stage (e.g., "Not Suitable," "Withdrawn").
Stages:
This is where you define the individual steps in your job pipeline, in the order they occur. You can add up to 10 distinct stages.
Label as: This field allows you to name each pipeline stage as it will appear in OneUp. Use clear and consistent labels that reflect your process (e.g., "Shortlisted," "CVs Sent," "1st Interview").
Conversion rate: For each stage, you can set an expected conversion rate (as a percentage). This conversion rate is crucial for OneUp's weighted pipeline calculations. It represents the likelihood of candidates progressing from this stage, to successful placement.
The Weighted value shown on the Job Pipeline overview page is calculated as:
Weighted Value = Sum (Job value at each stage × Stage probability).
For example, if you set a conversion rate of 50% for the "1st Interviews Arranged" stage, OneUp will forecast only half of the potential fee associated with those candidates as likely to be successful. This provides a more realistic view of your expected revenue based on historical conversion data.We recommend setting this up as the probability of success from the specific stage to successful placement (e.g., in the screenshot above, there is a 20% probability of successful placement at 'shortlisted' stage, versus 80% chance at offer stage).
+ Pipeline stage: Click this button to add a new stage to your pipeline. A stage can be one of your metrics, and the name (how it appears on the page) can be customized.
The new stage will appear at the bottom of the list, and you can then drag and drop it to the desired position in your workflow.
💡 When considering stages to add to your Job Pipeline, it’s important to remember that the stage must involve a job and a candidate.
A metric that includes only one or the other, cannot be used. For example, Jobs Added only includes a job, but not a candidate, and so, cannot be used as a stage in your Pipeline.
[Drag and drop handles]: Use the handle to the left of each stage to drag and drop a stage into the correct order within your pipeline.
Metric Mappings
This section allows you to link specific metrics within OneUp to key pipeline calculations. This ensures that the data displayed in your pipeline is accurate and relevant.
Placement (Time to fill): Select the metric that represents the time taken to fill a job.
Job value: Choose the metric that represents the value of the job (e.g., "Estimated Fee"). This is the figure that will be used in the weighted pipeline calculations, factoring in the conversion rates you set for each stage.
Placed value: Here, you can select a specific metric to represent the value of a placed candidate.
If you make any changes to this section, make sure to click the Save button in the bottom right.
Field Mappings
This section is crucial for integrating your OneUp pipeline with your connected CRM (in this example, we are using Bullhorn).
Map specific fields from Bullhorn to display key information directly within your OneUp pipeline view.
[CRM Name (e.g., Bullhorn)]: This is shown near the top and indicates the CRM you have integrated with OneUp.
Client name: Select the corresponding field in Bullhorn that contains the client's name.
Salary: Select the Bullhorn field that contains the salary information for the job.
Status: Map the Bullhorn field that reflects the current status of the job.
Job type: Select the Bullhorn field that indicates the type of job (e.g., permanent, temporary).
Custom field mapping: This allows you to map additional relevant fields from your CRM to your OneUp pipeline for enhanced visibility.
Click the + Custom field mapping to add a row and enter a name in the field to the left. You can then use the dropdown on the right to select a data field:
By carefully configuring these settings, you can create a Job Pipeline view in OneUp that accurately reflects your unique recruitment process, provides valuable insights into your team's performance, and seamlessly integrates with your existing CRM data, including a more realistic forecast based on your defined conversion rates.
