What is the Job Pipeline?
In recruitment, a job pipeline can have multiple stages relating to the hiring process. These typically include: Pre-screening, shortlisting, CVs sent, 1st interviews, further interviews, offered and placed.
OneUp's Job Pipeline is part of Performance Insights/ our Pro package. It can help you better understand the health and status of each of your open jobs on your CRM, ultimately, helping you fill jobs faster.
As a Manager or Director, use the Pipeline to:
Have clarity on where each job is in the process;
Manage the hiring process and encourage individuals to hit their targets.
Help with opportunity sizing, forecasting realistic outcomes and measuring performance.
As an individual recruiter or consultant, use the Pipeline to stay on top of your game, and answer questions like:
Which jobs haven't we actioned in the last 7 days?
Which jobs have less than X candidates in the pipeline?
Which jobs are we looking likely to lose?
Using the Pipeline
Find Job Pipeline under Reports in the main navigation menu. There are three main tabs within the Jobs Pipeline page, all accessed from the top left of the page.
On any of the tabs, you can use the filters in the top right to get the data you're after. Here are some suggestions on what to use these filters for:
Filter by users and teams, as well as specific jobs and companies with the Entities dropdown to get a view of jobs that yourself or team members have ownership of, and find out which jobs are open for a given Client, and where you are with filling those jobs across your business. Use drill down to view candidate detail for that specific job, across all stages of the pipeline.
βFilter by pipeline stage (e.g. CV sent, 1st Interview, Offer, Placed), to understand the total activities across jobs, at each specific stage of your pipeline. For example, filtering by 'CV sent' will bring up the total number of jobs with activity up to 'CV sent' stage:
βFilter by job type to see jobs of a particular employment type in the pipeline (e.g., contract, permanent, etc).
βFilter by job status to view a list of jobs by job status, allowing you to focus on jobs still open, or reflect/report on those that have closed. For example, filter by open jobs and look for some patterns in your pipeline. If you have many applicants at the 'CVs sent' stage for example, but none at '1st Interview', you could then prioritize following up with the Client, and getting candidates across the line.
π‘ The job types and job statuses displayed here are variable, depending on your CRM setup.
Use the job added filter to view your job pipeline according to when the job was added. For example, filter by this week or last week to view all jobs added recently and ensure you are driving activities for these jobs, during a weekly check-in with your team for example.
βIf you have multiple CRMs connected to OneUp, you'll also find a source filter here, allowing you to filter the jobs displayed by a specific CRM.
π‘ The OneUp team will configure your Job Pipeline stages for you. This means you can define the different stages, as well as which metrics should count in each stage of the Pipeline, based on your process and setup.

Finally, the Group by setting allows you to group jobs in the pipeline by a specific value, for example:
Job Type
Company
Contact
Job Title
Status
This can make navigating the list of jobs in the pipeline easier.
Group by is only available on the Pipeline stage and Time since activity tabs.
Overview tab
The Overview tab shows your pipeline at-a-glance. With the cards at the top of the page, you can see the current amount of revenue in your pipe, along with other key metrics such as average time to fill and the total number of jobs in the pipe.
Beneath this, in the center section, is a visual breakdown of each pipeline stage, showing you the value and number of candidates at each point in the pipeline.
π‘ Hover over each pipeline stage card, and drill down into the information to find out specific detail about the jobs and candidates at this stage e.g., which candidates are at this stage of the pipeline?
At the bottom of the page, you'll find the Time since activity section. This section gives you an idea of the number and percentage of jobs that have spent a particular amount of time in the pipeline, enabling your team to more easily identify jobs that are stuck in the pipe and uncover the reasons why.
Pipeline stage tab
The Pipeline stage tab shows you a more detailed breakdown of how many candidates are in each stage of the pipeline for each job.
Use this tab to dig deeper into the data and for a specific job (or even a particular company using the provided filters at the top of the page), to discover which stage each candidate shortlisted for that job is at.
The Pipeline stage tab also shows you a breakdown of each job's salary, current status, and the average time to fill this job (if it's reached the placed stage).
Time since activity tab
The Time since activity tab shows you the latest activity in your CRM, recorded against each job, including who it was recorded by.
This tab will also break down the last activity per stage in the pipeline, so you're able to see how long it takes, on average, for a job to move from one stage to the next.
OneUp will also show you the time to fill for each role on this tab as well, as long as the job has reached the placed stage.
Using the filters to monitor time since last activity against each job or stage, you and your team can ensure you have a healthy pipeline where jobs aren't left at a given stage for too long.
π‘ Sort by the last activity column using the arrows next to each column name to get a view of jobs that haven't had anything happen for them in over a week, allowing you to focus and drive activities for those jobs.
β Note: last activity is limited to the last 365 days.
Pipeline Weighting
Our Pipeline displays the value of jobs at each stage.
It's not always guaranteed that every job in the pipe will be filled. To account for this, OneUp has the ability to adjust the estimated value at each stage (i.e give each stage a weighting) in the pipe by using a given percentage.
For example, if you know that 60% of your CVs make it to Interview, but only 20% of your interviews get to the Offer stage, you can adjust the weighting at each stage to make the forecast more realistic.
π‘ You can always see the original figure next to the weighted one on Job Pipeline to help inform your conclusions of the data.
Viewing weighted pipeline value
There are a couple of places to view your pipeline's weighted value:
In the Overview tab, along the top of the Job Pipeline page (this will show the overall amount of revenue for all stages in the pipe):
Note that if filters are applied, the value figures will reflect these e.g., if viewing the pipeline for all contract jobs (job type filter), you'll see the values, candidates and average time-to-fill for these jobs only.
Against each card in the center section of the pipeline (i.e you're able to see the value and its weighted conversion for each stage of the pipeline):
