What is the Job Pipeline?
In recruitment, a job pipeline can have multiple stages relating to the hiring process. These typically include: Pre-screening, shortlisting, CVs sent, 1st interviews, further interviews, offered and placed.
OneUp's Job Pipeline is part of our Performance Insights product. It can help you better understand the health and status of each of your open jobs on your CRM, ultimately, helping you fill jobs faster.
As a Manager or Director, use the Pipeline to:
Have clarity on where each job is in the process;
Manage the hiring process and encourage individuals to hit their targets.
As an individual recruiter or consultant, use the Pipeline to stay on top of your game, and answer questions like:
Which jobs haven't we actioned in the last 7 days?
Which jobs have less than X candidates in the pipeline?
Which jobs are we looking likely to lose?
Using the Pipeline
Find Jobs Pipeline under Reports in the main navigation menu.
The totals area shows you how many candidates are in each stage of the pipeline for each job.
The time since activity area shows you the latest activity in your CRM, recorded against each job, including who it was recorded by, as well as the last activity against each stage for that job.
π‘ OneUp will configure your Job Pipeline stages for you. This means you can define the different stages, as well as which metrics should count in each stage of the Pipeline, based on your process and set-up.
Job Pipeline totals
Use this Job Pipeline page to view your entire pipeline, and find information relating to the total candidates in the different stages of the pipeline.
Use the filters in the top right to get the data you're after. You can find some suggestions below:
Filter by users and teams, to get a view of jobs that yourself or team members have ownership of.
Filter by pipeline stage (e.g., CVs sent, 1st Interview, Offer, Placed), to understand the total activities across jobs, at each specific stage of your pipeline. For example, filtering by 'CVs sent' will bring up the total number of jobs with activity at the 'CVs sent' stage:
π‘ Hover over the chart at the top, and drill down into the information, to find out specific detail about the jobs and candidates at this stage e.g., which candidates are at this stage of the pipeline?
Filter by job status to view a list of jobs by job status, allowing you to focus on jobs still open, or reflect/report on those that have closed. For example, filter by open jobs and look for some patterns in your pipeline. If you have many applicants at the 'CVs sent' stage for example, but none at '1st Interview', you could then prioritise following up with the Client, and getting candidates across the line.
π‘ The job statuses available here are completely dependent on your CRM setup.
Filter by client to view all jobs open for a specific client. Find out which jobs are open for the Client, and where you are with filling those jobs across your business.
Use the job filter to search for specific jobs, and view the pipeline for that job. Use drill down to view candidate detail for that specific job, across all stages of the pipeline.
Use the job added filter to view your job pipeline according to when the job was added. For example, filter by this week or last week to view all jobs added recently and ensure you are driving activities for these jobs, during a weekly check-in with your team for example.
If you have multiple CRMs connected to OneUp, you'll also find a source filter here, allowing you to filter the jobs displayed by a specific CRM.
π‘ The time to fill column within the table is populated for all placed jobs. This is a measure of the time between the job being added, and a placement being made. This allows you to answer questions like: how long did it take to fill jobs added in the last 6 months?
Job Pipeline time since activity
This area shows you the latest activity in your CRM recorded against each job, including details such as who it was recorded by, and the last activity at each stage of that job in the pipeline. It allows you to view when the last time something happened was.
Use the filters to monitor time since last activity against each job or stage, and ensure you have a healthy pipeline.
π‘ Use the last activity filter to view time since activity in a specific time period, such as today, or in the last week, or last month.
Sort by the last activity column to get a view of jobs that haven't had anything happen for them in over a week, allowing you to focus and drive activities for those jobs.
β Note: last activity is limited to the last 365 days.

We'll soon be adding the ability to filter by owner and team, allowing team leads and consultants to have visibility of jobs that themselves or their team members have ownership of.
