jmc’s Form Designer is a flexible tool for creating custom student information forms, including attendance letters that notify families and stakeholders about ongoing concerns with absences or tardies. With built-in data fields and formatting tools, you can quickly generate letters that pull in accurate student information and reduce manual editing. Customize each letter to match your school’s attendance policies, then save it as a reusable template—making it easy to send updated letters as attendance concerns continue or escalate.
Create your attendance form letters by logging in to jmc Office and heading to Form Designer > Student Info Forms to get started.
Step One: Click the "New Form" button to begin creating your new absent/tardy form letter.
Step Two: Select a "Blank Form" to start your form letter from scratch or choose an existing form to use as a template using the "Select Form template" drop-down list in the "New Form" pop-up.
Step Three: Enter a clear, recognizable name that reflects your school's attendance policy in the "Enter Form Name" field to help you quickly identify your attendance form letter.
Step Four: Click the “Save” button to begin editing your new form letter or the "Cancel" button to discard your changes.
Helpful Tip: Place a checkmark in the "Include Mailing Label" checkbox to speed up the mailing process by printing a name and address right on the form!
Step Five: Choose the "Portrait" or "Landscape" radio button to set the orientation of your form letter, and choose “Letter” or “Legal” to specify the paper size for printing.
Step Six: Click and drag items (such as the "<<Per Attend>>" or "<<AM/PM Attend>>" items) from the jmc data fields list into the form letter to customize the information included.
Helpful Tip: Configure the date range and absence criteria when selecting <<Per Attend>> or <<AM/PM Attend>> to meet the needs of your attendance letter.
Step Seven: Click the "Save" button to save your absent/tardy attendance form letter.
Helpful Tip: Once you have saved your letter, you can use it as a template for additional letters with different attendance criteria to keep families in the loop on escalating attendance concerns.
