Print or email student schedules

Student schedules tell students where and when each of their classes meet, whether they are printed or emailed.

After the master schedule is built and students are scheduled into classes it is time to let students know when each of their classes meet. Let's get their schedule into the students' hands! Go to Schedules > Student > Print Schedules in jmc Office to look at your options for printing or emailing student schedules.

Step One: Select a term type from the "Term Type" drop-down list and specify a term by clicking the appropriate radio button to filter which courses are included on the student schedule.

Step Two: Select a radio button from the "Select" box to identify which student schedules will be printed. Then fill out the appropriate fields highlighted below.

  • Sequential: enter a range of student IDs in the "From" and "To" fields

  • Random: select one or more students by entering their name or student ID in the "Find" drop-down list

  • Grade: enter a grade level range in the "From" and "To" drop-down lists

  • Advisor: enter a range of advisor IDs in the "From" and "To" fields

Step Three: Select a radio button from the "Form Height" box to indicate what size schedule to print.

  • 11 inches - 1 up: one schedule per page.

  • 11 inches - 2 up: two schedules per page.

  • 11 inches - 1 up with Address: one schedule per page with the mailing address of the student's primary contact(s) at the bottom

Step Four: Place a checkmark in the following checkboxes to enable the specific option:

  • Include Study Halls: print a study hall for any period of the day a student is not already scheduled for a class.

  • Print Schedules By Day: reorder schedule by day of the week/cycle instead of by period

  • Include Second Advisor: print student's Advisor 2 if any

  • Include Contacts: print primary contact name on the schedule

  • Include Tag: print the student's tag group on schedule

  • Include Days: print days of the week/cycle for each class

  • Show All Teachers: print the class's second teacher if any

Step Five: Place a checkmark in the "Email If Possible" checkbox to email the schedule to the student's primary contact(s).

Step Six: Place a checkmark in the "Email Student" checkbox to email the schedule to the student.

Step Seven: Enter an email address in the "Reply To Email" field.

Helpful Tip: This email address will be the reply-to address listed on all emailed schedules.

Step Eight: Enter an email address in the "Cc:" field if you want all schedules to be carbon-copied to an additional email address.

Step Nine: Enter an email address in the "Bcc:" field if you want all schedules to be blind carbon-copied to an additional email address.

Step Ten: Click the "Choose File" buttons to include file attachments with your email.

Step Eleven: Enter a message in the "Email Message" field to send as the body of the schedule email.

Step Twelve: Click the "Print" button to print the student schedules to hand out or the "Export" button to export a CSV text file with the schedule information for importing into a spreadsheet.
