What is Merge Field?

You insert a merge field into an email template, text template, and/or smart blocks that auto-fill the value tied to the merge field. It can contain information about the address, contract acceptance date, Buyer/ Seller contact information, and other predefined and supported data.

Once you click on one of the merge fields, it’s going to automatically copy it to the clipboard so you can paste it into the email. When you apply the email template to a transaction, it will look for the matching value of the merge field(s) and automatically fill out the email.

Where to Find Merge Fields

  • From the hammer icon, click Merge Fields.

  • You can also click CTRL + A on your keyboard and it will open the Merge Fields side panel.

  • Merge Fields can be found on the email template or email by clicking on the blue button icon to the right of the editor bar.

Merge Fields Available in Open To Close

  1. Fields - these are the project user fields (e.g. Address, Escrow Number, etc.)

  2. Contact Roles populate with data from your contact records (e.g. Buyer Full Name, Buyer Cell Phone, etc.)

  3. Smart Blocks - It’s a collection of merge fields (dynamic content based on conditions)

  4. Smart Block Groups - It’s a collection of other smart blocks.

  5. Utilities - It contains the Contact Loop, New Line (HTML), and Property Email Address.

  6. Me - this is your personal/ profile information that is part of the merge field.

How to Correctly Apply Merge Fields

Step 1:

Click the three vertical dots to the right of the box you're working on. Usually, in an email template, that's going to be either the subject line or the content box for the email itself. Select the appropriate merge field from the list.

Step 2:

For instance, to make the buyer agent's first name appear in the sent email, you would use {{buyers_agent_first_name}}. You don't have to type the buyer agent's actual first name into the email template because that would make your email template unusable for all other transactions that don't have that buyer agent.

Here's another example: Every transaction features its property and address. Whenever you use the {{contract_title}} merge field, our system will grab the full address of the property associated with the transaction and insert it into wherever you've placed the {{contract_title}} merge field.

If you use merge fields instead of contract-specific information, your email templates will be reusable, saving you hours per day and hundreds of clicks.
