Now that you have customized your Fields, Contacts, Documents, Emails, Tasks, and Intake Forms, it's time to test things out! Get a sample contract or live contract and start by filling and adding in an Intake Form.

Intake Forms, Submitting vs Approving

Once an intake form has been submitted, your next steps can look something like this:

  • Review and connect Integrations

  • Review and update Fields before Approval

  • Review Files received and add to placeholders on the Documents Tab

  • Add additional Contacts and Contact Groups

  • Approve your Intake Form!

We always suggest reviewing what task templates came onto your property after the transaction has been approved. This is going to help in two parts:

  1. Growing trust in your system

  2. Update and Improve

As you test and start to use your system live, you are going to go back and make alterations and updates. We always suggest working on one or two live transactions to get comfortable and learn what you want for your process. Take time at the end of the week to make improvements to your system.

Dashboard Widgets

There are several widgets available for your Dashboard view. You can add, remove, and reorganize your widgets in a fashion that makes the most sense for you.

Property Tables & Segments

The Property Tables and Segments can be used to view a filtered list of your properties. This view is helpful for users who like to create and use a list view of the properties using different filters.

We suggest creating at least two tables, one called Transactions and a second called Closed Transactions. From there you can use the Contract Status filter to show the properties under the correct Contract Status, whether they are active or closed.

Segments are another great tool you can use to drill down the information even more. You can create different segmented views of your properties by filtering down to the contract client type, team member assigned, and even down to a specific date range.

We suggest creating a couple of different Segments titled Buyer's Pending, Active Listings, and Sellers Pending. Each of these filtered views can be updated and customized.

Task Pipeline

The Task Pipeline shows a Kanban view of all the tasks added to your properties. Depending on the pricing plan you signed up for will depend on the different filters that are available to you.

We suggest creating a couple of different filtered Snapshots of your tasks. For example, you could create a Snapshot called Inspection Tasks, and filter down the tasks to the inspection tasks that are currently applied to your property.

You can also create a very focused view of the Buyer Inspection Tasks by using the Tags to filter down tasks tagged Inspection and Buyer. This is where you are going to see the power behind using tags and color coordination for your Task Templates.

Main Takeaways

Transaction management is unique to each user. We offer a variety of different avenues to accomplish the same goal, helping you stay on top of your transactions and giving you time back into your day.

Take your time to learn the different ways you can manage your transactions and create some Standard Operating Procedures (SOPs) on how you would like to manage and upkeep your Open To Close system. As always, we are one click away from supporting you and your business, so please let us know how we can help!
