Managing Product Inventory and Quantity Limits in Edlio Pay (OSP)

Learn how to track physical stock, set limited item quantities, and prevent overselling for school store merchandise in Edlio Pay (OSP).

Overview of Product Inventory Management

Preventing overselling and tracking physical merchandise stock is critical for school spirit stores, banquet seat reservations, parking permits, and limited-edition items. Edlio Payments (OSP) provides native inventory tracking controls built directly into product setup.

Configuring Limited Quantity and Inventory Controls in Edlio Pay

💡 Best-Practice Adoption Tip: When inventory for a high-demand item reaches zero, Edlio Pay displays a clear Sold Out status on the storefront. Pair this with the End Date setting on the Required Fields tab to cleanly transition expired items off the public storefront and prevent confusing purchase inquiries.

Setting Up Limited Quantity Tracking

To enable inventory caps on a store item:

  1. Navigate to Products and open the item in the editor.

  2. Select the Additional Options tab.

  3. Check the box for Limited Quantity Item.

  4. In the Total Quantity Available field, enter the total number of physical units in stock (e.g., 150).

  5. Optionally, set a Maximum Quantity Per Order to prevent a single purchaser from buying out the entire stock.

  6. Click Save.

Inventory Deductions & Automatic Sold Out Rules

Here is how inventory operates in live production:

  • Real-Time Deduction: As parents complete credit card, debit card, or electronic check transactions, the available stock decrements immediately.

  • Cart Holds: Items placed in a cart are held temporarily during active checkout sessions to prevent simultaneous overselling.

  • Automatic Sold Out Banner: When the remaining quantity reaches 0, the Add to Cart button is automatically disabled and replaced with Sold Out.

  • Restocking: To add new inventory, simply edit the product, update the quantity count, and save. The item becomes immediately purchasable again.
