Student Fee Obligations: Bulk CSV Import and Roster Sync in Edlio Pay (OSP)

Step-by-step instructions for importing student fee obligations via CSV spreadsheet, formatting templates, and reconciling fee payments in Edlio Pay.

Overview of Bulk Obligation Imports

For school-wide or grade-level fee assessments—such as annual senior graduation fees, athletic participation dues, instrument rental fees, or district-wide laptop replacement fines—manually keying in fees student by student is inefficient. Edlio Payments (OSP) provides a high-speed Import/Export utility to assign obligations to hundreds or thousands of students in minutes.

💡 Best-Practice Adoption Tip: Before uploading your obligations spreadsheet, ensure the target product item has already been created in Products with its Price Type set to Obligation. The Activity_Number in your CSV file must match the activity number in the product setup exactly.

Preparing Your Obligations CSV File

To ensure 100% import accuracy, format your spreadsheet with the following required headers:

Header Name

Requirement

Description

StudentID

Mandatory

Enrolled Student ID matching your master school roster.

ActivityNumber

Mandatory

Exact OSP product activity code (e.g., SR-FEES-2026).

Amount

Mandatory

Total fee amount owed (e.g., 75.00, no currency symbols).

Description

Optional

Specific fee note (e.g., Lost Chemistry Textbook #412).

Executing the Import Workflow

  1. From the Pay Management Dashboard, click Import/Export.

  2. Select Obligations Import or Import Summary Obligations.

  3. Click Choose File and select your prepared .csv spreadsheet.

  4. Click Upload and Validate. The system checks all rows for formatting errors or unmapped student IDs.

  5. Review the validation preview screen. If zero errors are reported, click Process Obligations.

  6. The fees attach to the student profiles immediately. When parents log into the school store, their student's assigned fees display automatically under their profile.
