Creating a template

Templates are a great timer saver if you have a recurring document, such as a newsletter or job offer pack. They’re quick and easy to set up; you just have to make sure you have a version created ready to set as a template.

Tips for creating a template

  • Lock content to prevent it being edited or changed when the template is used. (This can be done in both Layout Library and Fully Editable designs)

  • Add placeholders, which will automatically populate when the template is used (for example 'First Name', 'Job Title').

How to set a version as a template:

  • Select ‘Manage Version’ for the version you would like to set as a template.

  • Select ‘Template Settings’ from the list of options available.

The ‘Templates Settings’ page will open ready to complete.

Select this checkbox to set the version as a template.

Template Name

Enter a name for your template. It’s important that this is clear and concise so it’s easy to find when you wish to use it.

Template Description (non-mandatory)

Although not mandatory, a description of the template can be added which is useful for the other users in your account if they need to check what it will be used for.

Lock Design (non-mandatory)

If ticked, the design (for example, the size and position of panels on the page) will be locked, but the image and text content can still be changed.

Lock Content (non-mandatory)

If ticked the content will be locked (for example, images and text cannot be altered).

Lock Interactivity (non-mandatory

If ticked the interactivity will be locked (for example, a Poll and its answers or the content in a More Information pop-up box cannot be altered).

Retain Placeholders (non-mandatory)

If placeholders have been used, the admin using the template will not be prompted to replace them if option this is ticked. This option should only be used when you want to create a certificate template or a template that other admins will use to create another template.

Once this section has been completed select ‘Save Changes’. Your version will then be set as a template and ready to use.

💡 Placeholders are text fields that you are prompted to complete when you use a template. For example, a 'Full Name' placeholder may be used in a Job Offer template. Find out more about placeholders.
