How to Create an O&M Package

Learn how to attach documents, use Auto-Select, choose contents formatting, compile your O&M package, and share it with customers — including shareable link tracking.

An O&M package compiles all product documentation — datasheets, warranties, installation guides, and drawings — into a single, navigable PDF for your customer's closeout file.

1.Attach Documents to Lines

There are several ways to attach documents to your line items:

  • Reuse an existing document (e.g., a shared warranty): Select the line items → click Add Reused Document → choose the document from another product in the BOM.

  • Add installation instructions: Click Add → browse suggested files or previously used files → upload custom instructions if needed → click Save.

  • Upload a custom or miscellaneous document (e.g., Drawings): Open the relevant field and upload directly. These fields don't show suggestions but support storage and O&M inclusion. Uploads are saved per line item.

Tip: Reused files can have either shared or customized annotations — so you can keep a single document consistent or mark it up differently per product.

2.Use Auto-Select to Save Time

  1. Select multiple or all line items.

  2. Click Auto-Select → hover over All Documents.

  3. Choose which history to pull from:

    • User history — your own past selections.

    • Local (branch) history — selections from your branch.

    • Team history — selections from your entire team.

Note: Auto-Select matches documents using model number and manufacturer name. The more your team uses Parspec, the more accurate the matches become.

3. Review Contents Formatting

Before compiling, choose how documents are grouped in the final PDF:

  • Order by Product — each file appears once per line item. Best for documents with unique annotations (e.g., marked-up datasheets). Shared files will appear multiple times.

  • Order by Document — each file appears only once regardless of how many products use it. Best for shared documents like warranties. Reduces duplicate pages and streamlines output.

Tip: Use the Exclude function to remove any documents you don't want included in the final package.

4. Create the O&M Package

  1. Click Create O&M Package to compile the full PDF.

  2. Scroll through the generated package to review:

    • Cover page

    • Table of contents with hyperlinks

    • Grouped document sections (e.g., Data Sheets, Install Guides)

    • Clickable document links throughout

    • Index button at the bottom of each page to return to the TOC

5. Share the Package with Your Customer

Choose how to deliver the O&M package:

  • Email directly via Outlook integration.

  • Download as PDF.

  • Generate a shareable link — customers access the package online and you can track who viewed, printed, or downloaded it. Copy and paste the unique URL for easy distribution.

6. Make Revisions or Edits

  1. Click View Final Deliverables to access the saved O&M package.

  2. Apply an Approved status once the package is finalized.

  3. To revise: return to the Documents screen, update the relevant line items, then recreate the O&M package.

Note: Each time you recreate the package, a new version is saved in Final Deliverables — previous versions remain accessible.
