Scanner app — How to process Cashback cards

Learn how to credit cashback points and redeem points from customer Cashback cards using the Scanner app.

Overview

When a customer makes a purchase, you enter the purchase amount in the Scanner app. The system automatically calculates the cashback based on the customer's current tier percentage and credits the points to their card. Customers can then redeem their accumulated points toward future purchases.


Finding the customer

Option 1: Scan the card

  1. Open the Scanner app and tap Scan.

  2. Grant camera access if prompted.

  3. Point your camera at the customer's QR code or barcode.

Option 2: Search for the customer

  1. Tap Search Customers on the home screen.

  2. Search by name, phone number, email, or card serial number.

  3. Select the correct customer and card from the results.

After scanning or finding the customer, their Cashback card details are displayed — including current point balance, cashback tier and percentage, last accrual date, and card serial number.


Adding cashback points

  1. Enter the customer's purchase amount in the Enter Purchase Amount field.

  2. Tap Add Points. The system automatically calculates the cashback based on the customer's current tier percentage.

  3. A confirmation popup appears. Tap Add to confirm.

  4. The Successful Transaction screen appears. Tap Done.

For example, if a customer is on the Silver tier at 3% cashback and spends $100, the system automatically credits 3 points (or the equivalent based on your configuration) to their card.


Redeeming points

When a customer wants to use their accumulated points toward a purchase:

  1. Scan or search for the customer's card.

  2. Tap the Redeem tab.

  3. Enter the number of points the customer would like to redeem.

  4. Tap Redeem Points.

  5. A confirmation popup appears. Double-check the number of points, and optionally add an internal comment (the customer will not see this).

  6. Tap Redeem to confirm.

  7. Tap Done.


Viewing customer information

Below the transaction buttons, the scanner displays the customer's current card information, including:

  • Customer details (name, phone, email — as provided during card installation)

  • Current point balance

  • Cashback tier and percentage

  • Last accrual date

  • Card serial number

  • Card installation date

The exact fields displayed may vary depending on your card configuration.


FAQs

How are cashback points calculated?

Points are calculated automatically based on the purchase amount and the customer's current cashback tier percentage. You only need to enter the purchase amount — the system handles the rest.

Does the customer's tier upgrade automatically?

Yes. As the customer's cumulative spending increases, the system automatically upgrades them to the next tier when the spending threshold is reached. The new cashback percentage applies from the next transaction onward.

Can I leave a note on a transaction?

Yes. When redeeming points, you can add an internal comment. This is only visible to you and your staff — the customer will not see it.

How does a customer know their point balance?

The customer can see their current point balance, cashback percentage, and tier status directly on their loyalty card in Apple Wallet or Google Wallet.
