Why do I need Zapier?

With Zapier, you can, for example, send the leads that come in through your Perspective Funnels to your email or newsletter subscription. You can also forward your leads directly to other email addresses of your sales team or your customers.

What Perspective triggers and actions can I use in my Zaps?

Every Zap consists of a trigger (the event that starts the automation) and one or more actions (what should happen afterwards). Perspective provides three triggers and one action.

1. New Lead via Funnel

This trigger fires every time a funnel visitor submits a form containing an email address or a phone number, the moment a new lead is created.

The trigger includes all data collected up to the form submission. Anything the visitor enters afterwards is not part of the trigger data.

2. Visitor Completed a Funnel

This trigger fires every time a visitor reaches one of the result pages of your funnel and includes all data collected up to that moment. If you have more than one result page, the trigger will fire at the result page the user reaches first.

Keep in mind that a lead can be captured without ever reaching the result page, for example when you use the appointment block and a user submits the form but do not book a meeting. For this case, to get the most reliable lead capture, use New Lead via Funnel instead.

3. Create Contact (action)

The Create Contact action creates a new contact in a funnel of your choice. It is useful when the automation starts in another tool and the contact should end up in your Perspective CRM.

How can I make my Zaps smarter?

Zapier has three built-in steps that turn a simple 1:1 automation into a targeted workflow:

  • Filter: the Zap only continues if a condition is met, e.g. only forward leads whose email is not a free mail address.

  • Formatter: transform data before it is used, e.g. split "Max Mustermann" to get only the first name.

  • Paths: split the Zap into different routes based on an answer, e.g. beginners get a guide while advanced leads get an offer.

How do I fix a Zap that isn't working?

Start in Zapier under Zap History. Every failed run is logged there with the exact error message. These are the most popular issues and the troubleshooting steps:

1. My Zap doesn't trigger at all

In most cases the Zap was never published, no new lead has come in since you built it, or you use a trigger, that did not fire yet.

  1. Open the Zap and check that it shows as Published, a Zap in draft state never runs.

  2. Submit a test lead in your own funnel and check again.

  3. Check if you use the right trigger (New Lead/Visitor Completed).

2. The trigger test shows no data

Zapier can only show sample data if the selected funnel already has leads.

  1. Check that you selected the correct funnel in the trigger step.

  2. Submit a test lead in that funnel, then click Test trigger again.

3. Some funnel answers are missing in my tool

The New Lead via Funnel trigger only contains the data collected up to the form submission. Questions your visitors answer after the opt-in form are not included.

Add a second Zap with the Visitor Completed a Funnel trigger so those later answers are sent as well.

4. Zapier can't connect to Perspective

Your connection has most likely expired, was not set up correctly or your role is not allowed to create Zaps.

  1. In Zapier, go to My Apps.

  2. Delete the Perspective connection and reconnect it with your Perspective login details.

  3. Check if you have the Global Admin role in your Perspective account - other roles don't have permissions to create Zaps.

5. The action step in a Zap fails

This almost always means a required field of the receiving tool is empty or mapped incorrectly.

  1. Open the failed run in Zap History and read the error message. It names the field that caused the problem.

  2. Map all mandatory fields of the target tool. In Google Sheets, make sure the columns exist before mapping.

  3. Test the step again and republish the Zap.

💡 Always test your Zap with a real sample contact before you rely on it, and remember to click Publish after every change.

Do I need a paid Zapier account to connect Perspective?

No, you can create a free Zapier account to get started. Depending on how many Zaps you run and how often, you may eventually need a paid Zapier plan, but that's determined by Zapier, not by Perspective.
