Click on the '+ New Site' button in your Accounts & Sites menu. Name the site and select the site plan.

Create a tag with a name of individual crew member. This will allow you to limit the crew member to see their own certificates only.
Once you add them to the site, they can upload their certificates.

By adding individual crew members to the site, you let the crew to upload their own certificates. They can set personal reminders to ensure the never miss the expiry date again.
You can allow them to edit the custom fields or have them in 'View Only' mode.
Tags will enable you to Group by each individual crew member.

How to rearrange the table menu to display certificates per individual crew member?
Tag the point with the crew members name.
Assign the point to the crew member.
Sort the worklist as per your preference.
Group by tags or Assignee field.
Hide the Table Columns that you don't need. In this case, we have hidden Flag,Priority, Status, ID, Created, Created By & Updated.
Rearrange the Table Columns in your order.
Save this View - You can make it your default view, or share it under Shared View which enables you to save it as a default view for everyone visiting the site.
How to filter all ENG1 that are due to expire in the next 3 months?
Filter the type of certificate: ENG1
Filter the Expiry Date: next three months.
Your results will display all ENG1 certificates that are due to expire in the next three months.
How do I prevent the crew from amending the information on the site?
If you are a Captain onboard, you may wish to be the only Admin on site.

You can amend the crew Access Levels to 'Guest' and 'View only' mode. By doing this, the crew will still be able to view the information and upload a new certificate, but won't be able to make any changes to the information or existing attachments.
Can I manage other type of certificates using Pinpoint Works?
Sure, you can manage any type of certificate using Pinpoint Works. The above concept can work for Ships type certificates too.
