How to Dispute a Payment

Step by step guide for PLAI members raising a payment dispute, and for admins reviewing, accepting, or rejecting one.

As a member: raising a dispute

You can dispute a payment you believe is incorrect or unauthorised, as long as it has a Paid status and hasn't already been disputed.

  1. Open your payment history, or a membership card's detail screen.

  2. Tap the payment you want to dispute. This opens a detail bottom sheet.

  3. Tap Dispute Payment.

  4. Select a reason from the dropdown, and add any extra details.

  5. Tap Dispute Payment again to submit.

  6. You'll see a "Dispute Received" confirmation. Tap Return to Membership to close it.

Your dispute status now shows on that payment's detail. You'll receive an email once the club has made a decision.

Note: Dispute Payment only appears on Paid payments, and only if that payment hasn't already been disputed. Each payment can only be disputed once.


As an admin: reviewing a dispute

  1. In Treasury, tap the "Review Dispute" notification.

  2. Tap Review Dispute on the summary sheet to open the full Payment Dispute screen, showing the member's reason and any additional notes.

  3. Enter an admin report. The Accept Dispute & Refund and Reject Dispute buttons stay disabled until you do.

  4. Tap Accept Dispute & Refund to approve and refund the member, or Reject Dispute to decline. Either way, confirm your choice in the window that appears.

Important: Accepting a dispute automatically refunds the member to their original payment method. The member receives an email either way, letting them know whether their dispute was accepted or rejected.


FAQ

Can I dispute the same payment twice?

No. Once a dispute has been submitted for a payment, that payment can't be disputed again.

Which payments can be disputed?

Only payments with a Paid status. Failed, Waived, Refunded, and Unpaid payments don't show the Dispute Payment option.

What happens to my dispute if the membership gets cancelled while it's still open?

The dispute stays open and continues through to a decision, regardless of what happens to the membership in the meantime.
