Booking settings is the most important part of setting up your booking activity. This is where you decide who can come and who can't.

It is split into basic settings and advanced settings.

Basic Settings

Is this a free event?

If you select "no" to this option, then you can set the price of the activity, otherwise it will be free.

How many people can attend?

What is the capacity of the session? This will say how many people can book online.

How do you want to collect information?

This is to decide what information you are going to collect about the people booking onto events.

Member details lets you select the form you would like to use for booking. This is to collect the core information about the people booking (e.g. contact details or demographics). You can choose a form you already have or create a new one.

If the event is part of a programme (e.g. HAF), then you will not need to select a form, but you can add questions to it by clicking on the pen icon next to the form.

Event specific questions are for things like what food people want. These are temporary questions that are only relevant for this activity.

Contact information

This is so people booking know who to contact. This is a public site, so make sure that it is an email or phone number that you would like people to contact you on.

Eligibility requirements

This lets you decide who can and cannot attend the activity. If you select a characteristic from the dropdown menu and then what the answer will need to be in order for people to be able to book. You will need to also add a message for people that are not eligible explaining your eligibility criteria.

At this point, you can click save and next, or you can use some of the advanced settings.

Advanced Settings

You will be asked the following questions:

What payment methods do you want to accept?

If you are taking payment, do you want people to pay online by card, or can they request their own invoices. You can choose which by answering this question.

Do you want to set up discounts or multiple categories of attendees?

If you select yes to this, you will be able to setup various rules about who can attend your sessions and if people are paying, set up any discounts. If you select this, it will open up a new menu.

In this example, I have setup some places for people who say they are SEND when filling out the form. I have reserved 3 places for them, but set a limit so that only 5 people with those characteristics are able to book.

Do you want people to book directly, apply to register their interest, or just show contact details?

If you would just like to know how many people are interested in your session as opposed to allowing them to book directly, you can ask for people to just register their interest.

If you select show contact details, that will not allow people to book through the system, only advertising the event details.

Do people book as an individual or as a group?

If you are only taking group bookings, this is where you mark that.

How many weeks in advance can this be booked?

This limits when people can book your activity, to make sure that people aren't booking too far in advance.

How many days notice do you need for a booking?

This gives you some notice to stop people booking just before the session happens.

Do you want to set up multiple time slots for each day?

If you want people to book into time slots within your session, you can set that up here.
