Overview

The OSS (Order Support Specialist) team is a valuable resource for Sales. OSS can assist with:

  • First-level review of deals before documentation is sent.

  • Document creation on behalf of Sales, either to return to the Sales Rep or send directly to the customer.

Using OSS ensures accuracy, efficiency, and a smoother customer experience.


Steps to Engage OSS

Step 1: Complete the Proposal in Preo

  • Ensure the proposal is fully completed in Preo.

  • All deal details must be accurate and finalized before submission.

Step 2: Add Instructions in the Order Processing Notes

  • Clearly state your preference:

    • Option A: OSS to create the documents and send them back to the Sales Rep.

    • Option B: OSS to create the documents and send them directly to the customer.

  • Be specific and concise to avoid delays.

Step 3: Submit the Proposal

  • Once the proposal is complete and notes are added, submit it in Preo.

  • OSS will begin processing based on the instructions provided.


Best Practices

  • Use OSS: Engage OSS for a first-level review before sending documents to ensure compliance and accuracy.

  • Be clear in your notes: Ambiguity can lead to delays or miscommunication.

  • Follow up if needed: If you have a tight deadline, communicate with OSS after submission to confirm timelines. OSS is unable to advise/assist on documentation until the deal is submitted.
