XBS Midwest SOP for handling changes to Proposals after they are submitted

Change Requests are recommended to be handled by PREO Champions or other On-Shore resources such as Deal Admins. However, any Order Processing/Regional Admin resources have the permissions to complete the request. Email notifications can be enabled by Global/Regional Administrators to one or more email addresses.

  1. The On-Shore Deal Admin should take Ownership of the Change Request from the Open Request dashboard.

  2. Read the requested change and contact the responsible parties (sales, inventory, HCL/OP) required to enable the change request via the deal chat outlining the next steps for all.

  3. On-Shore Deal Admin approves the Change Request to enable the team to start processing the request.

Sales is expected to get new paperwork, if applicable. HCL is responsible for ensuring they have what is needed for the change/swap and ensuring PREO, EA, and the lease company are updated, if needed. Inventory is responsible for ensuring equipment/accessories are ordered and delivered.

If change request has been approved by On-Shore Deal Admin, HCL will:

  1. Unlock the proposal

    1. Notify the rep that the order is open for them to make the requested change and update the docs.

    2. Ask the rep to tag the OP team member assigned in the chat once the changes are completed and updated docs are uploaded in PREO.

    3. Instruct the rep to ask Frank Ferreira if any additional fees (delivery/pickup/restocking) need to be added to the order under additional expenses

  2. Lock the proposal and enter a reason for the update.

  3. Update existing eAutomate Sales Orders.

  4. Contact the Inventory team via PREO chat to process new delivery/pickup adjustments
