How to set an hourly rate for a task in primaTime 2.0

This article explains how to set an hourly rate for a specific task in primaTime 2.0 via Finance → Hourly rates, and how to apply the new rate to already existing time records using the Recalculate price function.

Summary

In primaTime 2.0, hourly rates are configured centrally in the Finance module. You can assign a specific rate to a task by creating an hourly rate rule linked to a project and task.

Step-by-step (easy)

1) Open Finance

2) Click Hourly rates

3) Click + Hourly rate

4) Select the Project

5) Select the Task (this appears after selecting the project)

6) Enter the hourly rate

7) Click Save

What happens next

- Every new time record for that task will use this rate automatically.

Update already created time records (important)

If you want the new hourly rate to apply to time records that already exist, you have two options:

Option A — Update all time records in a date range (most common)

Use this if you want to recalculate everything that happened in a certain period (for example: last month).

1) Stay on the Hourly rates page

2) Click Recalculate price

3) Select the date range you want to update

- You can fill only the dates

- This will recalculate all matching time records in that time range

4) Confirm

Option B — Update only specific items (more precise)

Use this if you want the recalculation to apply only to a specific project, task, or user.

1) Stay on the Hourly rates page

2) Click Recalculate price

3) Select the date range you want to update

4) Fill in what should be recalculated (optional):

- Project

- Task

- User

5) Confirm

Tip

If you are unsure why the hourly rate is not being applied, it usually means:

- the rate was not linked to the correct project/task, or

- the time records were created before the rate was set and need recalculation.
