Track time on your phone with the primaTime app

Record time on Android and iPhone, share the stopwatch with the web app, and keep tracking without signal.

Written by Richard S.

The primaTime app records time on your phone: start the stopwatch on the way to a job, add or correct records, and keep tracking where there is no signal. It works with your primaTime 2.0 account, so everything you record appears in the web app too.

When to use it

  • You work away from a desk — on site, on the road, between clients.

  • You start the stopwatch on your computer and want it in your pocket when you leave, or the other way round.

Before you start

  • Your workspace runs on primaTime 2.0. The old Time Tracking app belongs to the previous version and stops working for you once your workspace has moved. Remove it and use this one.

  • You have been invited to a workspace. The app cannot create one; an account without a workspace is sent to primatime.com to finish the setup.

The app is the same on Android and iPhone.

Install and sign in

  • Install the app.

    • Android: open Google Play, find primaTime: Profitable Projects and tap Install.

    • iPhone: Apple is still reviewing the app, so for now it installs through TestFlight, Apple’s app for apps that are not in the App Store yet. Install TestFlight from the App Store, open the primaTime TestFlight link on your iPhone and tap Start Testing, then Accept and Install.

On your home screen the app appears as primaTime.

  • Tap Log in. Sign-in opens in your phone’s browser — use the same account you use at app.primatime.com.

If you belong to more than one workspace, choose one on that page. The app has no workspace switcher: to change workspace, log out and log in again.

The TestFlight version is a preview, but the records you enter in it are real and stay in your account. Once Apple approves the app, you install it from the App Store and log in as before — there is nothing to transfer.

How it works

Recording time

  • Tap + → Create a new time record. Set the start and end, or the length with Set duration. Task appears once a project is chosen, and choosing a project fills in its client.

  • The fields your workspace makes mandatory are mandatory in the app too.

  • In the Calendar list, the coloured stripe on the left of a record is its project. Open the record to see the name.

  • Records marked Approved or Invoiced open read-only. A record in a locked period cannot be saved — the app shows the reason when you try.

  • A note with formatting the app cannot display opens read-only; edit it on the web.

The stopwatch

  • Tap + → Start stopwatch. Forgot to start it? Set the start time earlier before you confirm.

  • It is the same stopwatch as on the web. Start it on your phone and stop it on your computer, or the other way round. While the app is open, it checks for changes every minute.

  • Closing the app does not stop it.

  • Pause saves the time so far as a record and keeps the stopwatch with the same project, task and labels; resuming starts a new record. A day with pauses therefore shows several records.

  • If a mandatory field is empty when you stop or pause, the form opens first.

Working without signal

When the phone has no connection, a No internet connection strip appears at the top. You can still:

  • create new records — you will see Saved in offline mode;

  • start and stop the stopwatch. Pausing needs the stopwatch to have reached the server once.

Some things wait for the connection:

  • Records already on the server open read-only until you are back online.

  • Lists show what the app loaded while online: your 50 most recent clients and projects, and the tasks and labels of projects you have opened. Open the app once while online before heading somewhere without coverage.

  • Past days are available offline only if you looked at them while online.

Your offline changes are sent automatically when the connection returns, or the next time you open the app. Until then, a red cloud icon marks each record that is not on the server yet.

When a record does not sync

If the server refuses an offline record — a mandatory field is empty, or the period is locked — the app keeps it on the phone and puts a red mark on Profile. There, under Some records have failed to sync and require action from you, tap the row below to open Synchronization: correct each record and save it, or delete it.

What stays on the web

The app is for recording time. Totals, reports, approvals, invoicing, projects and workspace settings are in the web app at app.primatime.com. The language you pick in Profile → Language is the same setting as on the web.

Common mistakes

  • Going somewhere without coverage before the app has ever loaded your projects.

⚠ Before you tap Log out, check that Profile shows All records synchronized. The app warns that records not yet on the server are deleted from the phone when you log out.
