Set up primaTime for teams that clock in and out

Keep each employee to their own time: check roles after the migration and add new people without extra access.

If your employees only clock in and out, each of them should see their own time and nothing else. This article shows how to check that after the migration and how to keep it that way when you add people.

When to use it

  • Right after your account moves to the new primaTime.

  • Every time you add an employee or a project.

Before you start

You need to be the workspace owner or have a role that lets you manage users, such as Administrator.

How it works

What employees see by default

An employee without a role sees only their own time records — in the calendar, the timesheet and the app. Hourly rates and amounts show as 0, and reports show only their own time.

When your account was migrated, every employee received the role Member, which has no permissions. So they already see only their own time.

Check your employees' roles

  1. Go to Settings → Users. The Roles column shows each person's role.

  2. Click an employee, choose Edit, remove any role in Role and click Save.

Anyone who only clocks in and out keeps Role empty or Member.

Managers

A manager who needs to see everyone's attendance gets the role Time Records Observer. It came over from the old Attendance manager role.

⚠ This role does more than watch: it can also edit and approve everyone's time records and change the time tracking settings. Give it only to people who should be able to do that.

Check project owners

Whoever was the project's owner in the old version is its Project Owner in the new primaTime. A project owner sees and can edit everyone's time records on that project.

  1. Go to Projects → All projects and open a project.

  2. Open the Members tab. The Role column shows each member's role.

  3. If an employee is Project Owner, open their row, clear Role and click Save.

Add new employees

  1. Go to Settings → Users and click + User.

  2. In Create a user, enter the Email, keep License type on Standard and leave Role empty.

  3. If you add them to projects here, leave Project roles empty.

To add someone to an existing project, open the project, go to Members, click + Users and leave Role empty.

Common mistakes

  • Letting employees create projects, clients or teams. Whoever creates one becomes its owner and sees everyone's time on it.

  • Adding a team to a project with a role. Everyone in the team gets that role on the project.

  • Putting employees in the same team. Members of a team can open each other's profile, including email and phone number.

  • Giving a role with time record permissions. Any user, project or team role that includes time records shows colleagues' time.
