Holds

Can I add a hold on multiple rooms at the same time?

You can add a hold on multiple stages as long as they are under the same venue, but you cannot add a hold to multiple venues at once.

When I copy/paste holds, it says the venue name and then it says Main Stage. There is only one stage at this venue. How can I change this?

This happens when your stage has a different name than the venue. If you remove 'Main Stage' from the stage name in your venue settings, the “Copy Holds” text will remove the additional line automatically. There will be no extra stage line in the text block if the names of both the stage and venue are the same.


Offers

How come my offer says Mutually Agreeable at the top if I have holds for a few specific dates?

The offer will say “Mutually Agreeable” if there are multiple days being held. If you want to show a specific hold date, set it as the target date on the calendar by clicking on the hold and then clicking on the target icon in the popup window. If you select multiple target dates, the offer will say “Multiple Dates” at the top.

How do I set up a co-headline offer?

You can type in both artists to the Artist Name field (i.e. Beyonce + Jay-Z) and choose the "(Not in Spotify)" option at the bottom so both of the artist's names will display at the top of the offer with one overarching deal.

If the artists are getting paid different amounts (e.g. 85% of Net, split 45% and 40% between headliners), then we recommend creating two different talent deals on the same event, one for each headliner. That way they can have their own settlement sheet.

How do I set up a deal from ‘dollar one’?

Set it to a % of Net Gross deal as opposed to % of Net Revenue.

Calendar

How can I track Announce dates in Prism?

You can set an Announce, Pre Sale, and On Sale date on any given event via the “Event Settings”. Once set, they’ll be accessible on the calendar and in your reports.

How can I give someone else access to GCal after integrating with Prism?

If an admin on your Prism account has already set up the Google Calendar integration, the best way for you to gain access would be for one of the admins to share the calendar you need via Google. Instructions on how to share a Google Calendar are here.


Settlements

I’m a venue - why is my Facility Fee showing up as a negative in my internal settlement?

We have different types of clients at Prism and not all of them get to keep the Facility Fee. For those that do, add an additional revenue line item for the per ticket Facility Fee to represent that amount in your internal settlement.


Notifications

Is there any way to get notifications when a task is assigned to someone on the team?

Users can determine whether they want to receive task notifications emails daily, weekly, or never in their Org Settings. We don't offer the option to send an email notification every time a task is assigned to someone as it would likely result in an unnecessary amount of emails. The purpose of the daily / weekly email reminder is to serve as a prompt for folks to click the link and start working through their task list directly in Prism.

Can I receive an email notification anytime a show confirms?

An admin on your account can control this in the Org Settings of the account under Permissions > Team. Any user with the “Send Confirmation Email” checked will be able to receive these emails. When a show is confirmed, those users will appear in a list of recipient options. The person confirming the show can choose whether to send the confirmation email to all, none, or a selection of users on the list. Check out this article for more information.


Users and logins

Can I completely delete a user from my account?

Prism currently allows Admins to disable users, but prevents permanent deletion for reporting purposes, and cases where an account may need to be re-activated. Adding a 'zz' or something similar at the beginning of a disabled user’s name will move them to the bottom of the user list.

I gave someone access to Prism but the link expired / their dog ate the email / they never received it. What should I do?

You can always issue a “Forgot Password” link from the Prism login page. Check out this article for more guidance on login issues.


Tours

How can I make an offer for two shows on the same offer?

This can be accomplished using our Tours feature. Check out this article for a full run-through.

What is a cross-collateralized show?

When you cross collateralize a show, your artist payout will be calculated at the end of the tour based on the net of all shows combined.

Why can’t I add Promoter Profit to events in a Tour?

Promoter Profit can only be configured on the Tour level deal, not on the individual events within the tour. To build a plus deal with Promoter Profit on an individual show, you would need to remove the event from the tour via the event settings.


Deleted Events

My Event is missing or was deleted, can it be recovered?

Prism support is unable to recover deleted event data under most circumstances. Before an event is deleted, a user is prompted with a notice that this action is permanent.

To avoid situations where events are deleted accidentally, a couple of helpful tips are:

  1. Use Roles to control who can delete events. Untoggle the 'Delete Events' permission on Roles that should not have the ability to delete events.

  2. Consider Archiving an Event instead of deleting it, and it can be recovered later.
