Best practice for receiving and responding to Quote Requests

What is a Quote Request?

Designers often reach out to suppliers for pricing and availability of materials, products, or services. However, managing these requests efficiently can be a daunting task. Programa can provide you with a solution that simplifies the process and offers you comprehensive visibility.

Within Programa a Quote Request is generated when a designer takes the deliberate action to reach out to you for a quote for one or more of your products for a project.

How do I view the details of a Quote Request?

To view the details of a Quote Request within your account, simply navigate to the Quote Request dashboard where you can see a summary overview. If you would like more detailed information, simply click the ‘Details’ button on the far right-hand side of the row. A side tray will launch from the right-hand side of your screen which will display the full details including the name and location of the studio, the date the Quote Request was added, the project location as well as the RRP for the product (if it has been included). The details will also display contact information for the member of your team to which the Quote Request has been emailed.

How do I reply to a Quote Request?

A Quote Request can be sent from the Quote Request dashboard by clicking on the Contact button to the far right of the page.

When the message has been sent, the Contact button will change to Sent, the contact drawer will close, and a success message will appear.

The Quote Request will also be emailed directly to the contact email address that a designer has added to their schedule item. On receipt of the Quote Request email, the recipient can simply respond via email.

How do I manage my Quote Requests pipeline?

Quote Requests can be managed in various ways using tools such as filtering, searching and archiving.

Filters

Within Quote Requests, there are multiple filtering options available, simply navigate to the Filters icon at the top right of your screen and click on Filters.

From here you can select the type of filter to apply to your Quote Requests, the options include:

Single Date - this will return results for all of the Quote Requests that have been added to designer schedules on a single date

Date Range - this will return results for all of the Quote Requests that have been added to designer schedules within the specified date range

Studio Status - this will return results for all of the Quote Requests that have been added to designer schedules and are in the selected Studio Status stage e.g. Quoting

Search

Within the Quote Requests dashboard and right next to the Filters icon is a Search quote requests bar, use this space to type in any relevant search term, whether it be the name of the Studio, your Product a Project or even price, to narrow down your search results.

Archive

Once you no longer require a Quote Request to appear within your pipeline, it is easy to Archive. This helps to clear your ‘to-do’ list and maintain focus on active quotes. Simply navigate to the Quote Request you wish to Archive, scroll all the way across to the far right-hand side to the three dots (shown below), click to activate the Archive option.
