Accessing Scheduled Tasks

Automatically create tasks at regular intervals.

What Are Scheduled Tasks For?

Scheduled tasks allow you to automatically create tasks based on a defined schedule.

They are commonly used for:

  • Maintenance contracts

  • Periodic inspections (e.g., mechanical inspections)

  • Internal routines (daily or weekly tasks)

Note: Scheduled tasks can only be configured through the web version of ProgressionLIVE.



Accessing Scheduled Tasks

  1. Open the Tasks tab.

  2. In the upper-left corner, change the display mode to Scheduled tasks.

You will be taken to a view displaying all scheduled tasks.



Understanding the Recurrences View

Available Buttons

At the top of the screen, you will find:

  • Create schedule

  • Delete (after selecting one or more recurrences)

  • Import/Export

  • Export to Excel

Note: The Export to Excel button is used only for exporting data. To import data, always use Import/Export.



Recurrence Table

Recurrences are displayed in a table with configurable columns.

Managing Columns

  • Click the arrow in a column header to display options.

  • Enable or disable columns as needed.

  • Rearrange columns using drag-and-drop.

Note: After modifying columns, click Save Preferences from the gear icon in the upper-right corner. Column preferences are specific to each user.



Creating a Recurrence

  1. Click Create Recurrence.

  2. Configure the recurrence logic.

  3. Complete the task information.

  4. Save.



Configuring the Frequency

Daily

  • Repeat every X days

Weekly

  • Repeat every X weeks

  • Select one or more days of the week

Monthly

  • Repeat every X months

  • Choose:

    • A specific day of the month

    • Or an occurrence (e.g., first Monday, last Friday)

Yearly

  • Repeat every X years

  • Choose:

    • One or more months of the year

    • A specific day of the month

    • Or an occurrence (e.g., first Monday, last Friday)



Setting Time and Dates

Time

  • Corresponds to the appointment time of the generated task.

Start Date (Required)

  • Determines when the recurrence begins.

End Date (Optional)

  • Determines when the recurrence stops.

Tip: In ProgressionLIVE, fields displayed in bold are required.



Create in Advance

The Create in Advance setting determines how far ahead of the scheduled date the task is created.

Example :

  • Recurrence: Every Friday at 8:00 AM

  • Create in Advance: 0

  • Result: The task is created on Friday at 8:00 AM

Tip: If a lead time is specified, the task will appear earlier in the scheduling view.

Note: Tasks that have already been created are not automatically updated if the recurrence is modified.



Automatic Dispatch

Automatic dispatch determines the status assigned to the task when it is created.

  • No assigned resource: Task is created as Draft

  • Assigned resource: Task is created as Draft - Assigned

  • Automatic dispatch enabled: Task automatically progresses to the Dispatched status

Tip: Enable Automatic Dispatch if you want tasks to be sent directly to the assigned resource.



Completing the Scheduled Task Content

Once the scheduled task logic is configured, complete the scheduled task just like a standard task:

  • General

  • Optimization (Optimization Module)

  • Timesheet

  • Invoice

  • Equipment

  • Assistants

Note: Attachments can only be added after the recurrence has been saved.



Managing Future Tasks to Cancel

When a recurrence has already generated tasks, an additional section appears at the bottom of the recurrence record:

This section lists tasks that were generated ahead of time.



Modifying a Recurrence Without Creating Duplicates

When you modify an existing recurrence, ProgressionLIVE:

  • Keeps tasks that have already been created

  • Generates new tasks according to the updated settings

If no action is taken, duplicate tasks may be created.

To Avoid Duplicates

  1. Open the recurrence.

  2. Make the required changes.

  3. Navigate to the Future Tasks to Cancel section.

  4. Select the tasks that should be canceled.

  5. Save.

Tip: Always review and manage future tasks to cancel before modifying a recurrence.



Common Mistake

A common mistake is modifying a recurrence without canceling previously generated tasks.

Result :

  • Existing tasks remain in place

  • New tasks are created

  • Duplicate tasks appear

Note: Most scheduled task-related duplicates are caused by this overlooked step.



Frequently Asked Questions (FAQ)

What are recurrences used for?

Scheduled tasks automatically generate repeating tasks such as maintenance visits, inspections, and scheduled tasks operational activities.


Where are recurrences configured?

In the Tasks tab, using Scheduled Tasks Mode within the web version of ProgressionLIVE.


Can I modify an existing recurrence?

Yes. However, you should manage the Future Tasks to Cancel section to prevent duplicate task creation.


Can the Export to Excel button be used to re-import data?

No. Use Import/Export whenever you need to import data.


Do recurrences generate reports?

No. Scheduled tasks create tasks. Reports are generated from the Reports tab.


If I update a product price, will it automatically update in my recurrences?

No. You must reselect the product within the scheduled task for the updated price to be applied.
