Backing Up Proline Data to Google Drive

Learn how to set up and manage backups of your ProLine data in Google Drive, including configuration, folder selection, and requesting backups.

ProLine allows you to export your account data to Google Drive, allowing you to backup your company data.


To get started, navigate to hamburger menu > Integrations > Backup.

The following steps will explain how to use the Configuration section of this integration:

Step 1: Whitelisting ProLine in Google Drive

  1. Go to your Google workspace admin console (admin.google.com) logging in with your work account.

  2. In the menu, go to: security, access and data control, API controls.

  3. Select "manage third-party app access"

  4. Select "configure new app".

  5. Enter this code to search:

    31542749347-gh00oi4n5h625sbg7ms3e00uqi8c9mt7.apps.googleusercontent.com

  6. Select all orgs.

  7. Select "Trusted".

  8. Save the settings.

Step 2: Connecting a Google Account

To enable Google Drive backups, follow these steps:

  1. Sign in with Google: Click Sign in with Google in the Backup integration page in your ProLine account and complete the sign-in process.

  2. Grant Permissions: Allow ProLine to access your Google Drive data.

Step 3: Configuring Backup Folders

ProLine requires specific folders for organizing your backup data. Set up the following folders within the shared drive:

  1. Data Backup Folder: This folder will store CSV files of projects, contacts, and payments.

  2. Project Files Backup Folder: Use this folder for backing up individual project files.

  3. Contact Files Backup Folder: Use this folder for backing up individual contact files.

Once these folders are selected, you can request a backup from ProLine to your connected Google Drive account.

Recommendation: Create a new shared drive specifically for ProLine backups and restrict access to authorized personnel to ensure data security. This shared drive will store all backup files and data.

Step 4: Requesting a Backup

The following steps explain how to use the section "Request Backup" in the settings page for this integration:

Follow these steps to request a backup:

  1. Ensure all backup folders have been properly created in your Google Drive. For example, you should see the following folders:

    1. Contact File Backups

    2. Data Backups

    3. Project File Backups

  2. In ProLine, select the Request Backup option:

  3. Backups are processed overnight, and new files will appear in your Google Drive the following day.

If you require scheduled backups, contact ProLine support for assistance.

Step 5: Managing Backup Files

ProLine organizes backup files in your Google Drive as follows:

  • Daily Backup Folders: Each backup request generates a new folder labeled with the date.

  • Contents of Backup Folders: Folders contain CSV files for projects, contacts, and payments.

Example:

  • A folder named "2025-01-15" will contain:

    • CSV files for project, contact, and payment data.

Security Tip:

Backup data is stored in plain text and is not encrypted. Ensure only authorized personnel have access to the shared drive.
