When you're looking to integrate existing data into ProLine, understanding the various import options and preparing your data correctly can streamline the process and ensure accuracy.

Navigating to Import Tools

To begin importing data into ProLine, navigate to the Hamburger Menu > Import Tools. This action takes you directly to the Import Tools page, where you can choose from various data types to import.

When to Use Each Importer:

  • Projects Importer: The most used importer. Use it if you have both contact and project data in one sheet. It integrates contacts as part of project data, which is essential for managing customer relationships effectively in ProLine.

  • Contacts Importer: This should only be used for contacts unrelated to projects. It's less commonly needed unless dealing with external collaborators.

  • Activity Importer: Used when you have already imported projects or contacts with unique external IDs that can be referenced. Ensure your data includes unique ID references that can link back to the projects or contacts in ProLine.

  • Files Importer: Used when you have already imported projects or contacts with unique external IDs that can be referenced. This is often complex and rarely used, as extracting files from other systems in a compatible format is difficult.

  • Price List Importer: Used when you have an extensive price list that needs to be imported into ProLine from another platform. Doing this will require extensive work connecting the new price list items to quote templates, but it may be necessary if ProLine isn't set up to quote the type of work you do.

Tips for Successful Data Import

Download and Use the Sample Upload Sheets

ProLine provides a sample sheet for each importer that shows the expected data format. Aligning your data to this format as closely as possible simplifies the import process.

Prepare Your Data

Organizing your data in Excel or similar tools is crucial. Ensure you split names, calculate necessary values, and arrange columns as needed to match ProLine’s requirements.

Export Comprehensive Data from Other Systems

When exporting data from another system, include as many columns as possible. This maximizes your ability to match and import data effectively into ProLine.
