What are the three different "Service Levels" defined in the Propoly platform and what do they mean?

Understanding Letting Agent Services

When setting up a new property in the Propoly platform, the system will ask you to define what service type the Landlord receives on the "Tenancy Control" page:

Propoly defines three service types - "Fully Managed", "Rent Collection" and "Tenant Find".

Letting agents offer a range of services to landlords to help them manage their rental properties. These services can vary in scope and cost, so landlords need to understand the different options available to them.

Note: It is important to remember that these services can differ from agency to agency and some agencies may only offer certain types of service to their Landlords. While these are based on common industry practices across the UK, it is important to make sure you understand what is being offered at your agency, including what services are provided at each level.

Tenant Find Services

Tenant Find services, also known as or "let-only" services, are the most basic type of service offered by letting agents. As the name suggests, the agent's role is primarily to find and vet potential tenants for the property. Once a suitable tenant is found, the agent may also handle the paperwork, such as drafting the tenancy agreement.

Key tasks included in let-only services are:

  • Marketing the property

  • Conducting viewings

  • Vetting and referencing tenants

  • Preparing tenancy agreements

  • Collecting the initial rent and deposit

This service is suitable for landlords who want to handle most aspects of property management themselves but prefer to outsource the tenant-finding process.

Please be aware that when setting up a deal in the Propoly platform and picking a "Let Only" service type, the platform will prompt you to enter the Landlord's bank details into the system, as below:

This is because in most cases, an agent will only collect the initial rent and deposit on a Tenant Find service agreement, and all future rent collection is the responsibility of the Landlord and the Tenant. As such, the system will ask you to provide these details, so that it can prompt the tenant to set up future payments with the Landlord directly.

Rent Collection Services

In addition to the tasks covered in let-only services, rent collection services also include the responsibility of collecting rent from tenants on behalf of the landlord.

Key tasks included in rent collection services are:

  • All tasks included in let-only services

  • Setting up and managing the rent collection process

  • Pursuing late payments and handling rent arrears

  • Providing the landlord with regular financial statements

This service is suitable for landlords who want to be more involved in the day-to-day management of their property but prefer to leave the financial aspects to a professional.

Full Management Services

Full management services are the most comprehensive type of service offered by letting agents. This service covers all aspects of property management, from finding tenants to handling maintenance and dealing with tenant issues.

Key tasks included in full management services are:

  • All tasks included in let-only and rent collection services

  • Conducting regular property inspections

  • Handling maintenance and repairs

  • Managing tenant issues and complaints

  • Ensuring compliance with legal requirements (e.g., safety checks)

  • Overseeing tenancy renewals and end-of-tenancy processes

This service is suitable for landlords who want to delegate all aspects of property management to a professional letting agent.
