How to update an Offer Letter

Sometimes some details of the tenancy may change or be renegotiated with the prospective tenant between the time that the Landlord accepts the prospective tenant's offer and the time at which they sign the agreement and the tenancy becomes binding.

If this happens, you may wish to update the offer letter that you originally sent to the Landlord and provide them with an updated version reflecting all of the changes. This gives the Landlord a chance to review the updated terms and ensure they are happy with everything in advance of receiving the tenancy agreement.

Fortunately, the Propoly platform offers a simple solution for updating and reissuing offer letters.

Step 1: Open the Deal

Open the deal you would like to reissue the offer letter for. This can be done by clicking on the deal from your dashboard or by searching for it in the search bar.

Step 2: Make Required Changes

Once you are on the deal page, make any required changes to the deal. This can include updating the rental amount, start date, or any other details that need to be modified.

Remember! You can review the details of the deal and make any needed updated by clicking on the three vertical dots and then selecting "Edit Deal" from the drop down menu:

Step 3: Renew the Offer Letter

Once you have made any changes and you are satisfied with the updated deal, ensure that you are on the "Tenancy Generation" stage of the deal in Propoly:

From the Tenancy Generation page, find the "Send offer letter to Landlord" toggle and ensure this is switched to "Yes".

Once the toggle is set to yes you will see a button labelled "Renew Letter" just below the "Send offer letter to Landlord" toggle. Click on this button.

This will regenerate the offer letter to reflect the updated deal information.

Note: If you do not see the option to renew the offer letter, make sure you have saved any changes you want to make to the deal.

Step 4: Review and Send

Once the offer letter has been renewed, take a moment to review the document and ensure all changes were made correctly. You can do this by pressing the "View Letter" button and downloading a copy of the letter for you to check.

Once you are satisfied that everything is correct, you can then click on the "Send Letter" send the updated offer letter to the Landlord, who will then be guided to sign the updated letter using DocuSign, confirming their acceptance of the updated terms.
