The ultimate guide on tags in PULPO WMS

Using tags is a powerful way to personalise processes in PULPO WMS.

Tags in PULPO WMS can be assigned to users, products and locations. Based on the different combinations of tags, a great level of flexibility and system fine-tuning can be achieved.

Setting up tags

Tags for products, users and positions can be created and set up in the Tags part of the Administration menu in the PULPO WMS web view.


User tags define the groups of products that the user can work with.

To add tags to a user, edit the user and open the tab TAGS.


To add tags to a position, edit the position and add tags via Choose tags (1):

To add tags to a product, edit the product and go to the tab TAGS.

The tags for products can be imported from the ERP or Shop system based on the settings of the related product integration. In this case, the tags added to products manually in PULPO WMS will be overwritten by the integration, and must be added in the sourcing ERP or Shop system.

Matching product tags and user tags

USE CASE

Adding tags to users and products ensures that users only work on pickings with matching tags.

A simple example: a user working with frozen products in a refrigerator is not supposed to pick orders containing toys from a general warehouse.

This can be useful if users need to fulfil certain criteria, e.g. having knowledge about handling the dangerous goods.

Make sure that the users and products are tagged correctly - both need to have the same tag(s).

Whenever a user now tries to accept a picking that contains products that do not match their tags, the following message is shown:

There is also a way to hide the pickings containing the non-matching products from the picking tasks list. The setting "Filter picking list based on product tags" allows hiding pickings from the picking list if a picking task contains at least one product with a tag that the user does not have.

The setting can be found in the Settings -> Outgoing -> Orders and Picking tab.

Matching product tags and position tags

Positions can receive the tags to identify categories of products to be stored on them, and match the products to positions if the position suggestion setting for the reception and movement tasks is enabled.


Position suggestion based on the tag works as described below. Same applies to the suggestion of empty positions.

  • If the product has the tag “X”, the (empty) position must also have this tag

  • If the product has no tag, it can be stored anywhere (in all (empty) positions even if those have tags)

  • If the product has multiple tags, the (empty) position must also have all these tags, but can have more tags.

USE CASE

Matching product tags to the position tags.

  • The product goes on sale and becomes an A-type product based on the ABC analysis.

  • ERP automatically tags the product with the "Fast-moving" tag.

  • The warehouse locations for fast-moving products are placed close to the packing zone and are tagged with the "Fast-moving" tag as well.

  • When receiving the product in the reception, the app will suggest storing the product in the positions from the Fast-Moving zone.

Matching product tags with position tags allows optimal storage of the products in the warehouse and saves time on picking.

Using product tags to split picking tasks

PULPO WMS allows you to split picking tasks based on the tags of the products included in the task.

This can be handy if the order consists of multiple product types picked in different warehouse zones and must be split between different users.

USE CASE

The order contains products of different types (frozen and vegetables) picked by different warehouse teams.
The warehouse manager can split an order based on the tags and create 2 different pickings.
Once the first of the pickings is finished, and the products are taken to a packing position, other pickings will be assigned to this packing position as well, allowing for collecting the full order on a single packing position and its further processing.

Splitting orders or replenishments by product tags

To split products into pickings by tags, click the "+" button at the top of the Create pickings screen. Picking 1 will be created. Other pickings are created the same way.

To add products to the picking by tags, select a required tag using the tag selector and click the "+" button next to it.

All the products with the required tag will be added to Picking 1.

Selecting a tag and clicking the "+" button next to the tag selector adds all products with a certain tag to the picking tasks.

Selecting a tag and clicking the "-" button next to the tag selector removes all products with a certain tag from the picking tasks.

The screenshot below shows the products with the tag "heavy" added to Picking 1.

Clicking the "-" button next to the product will remove it from the picking.

To add another picking, repeat the procedure and add the products with different tags to the pickings.

The order will be ready for packing once all the pickings reöated to this order are ended. PULPO WMS assigns the split picking tasks related to an order to the same packing position.

Using product tags to split sales orders into fulfillment orders

If the "Segment sales orders into fulfillment orders" option is enabled, sales orders will be automatically split into fulfilment orders following the chosen criteria.

The fulfillments, during the picking, packing, and shipping process, will be handled as independent orders. Cancellations and pausing will affect the whole original sales order and related fulfillments. The segmentation criteria shall follow the defined numerical order.

After activating the setting, the user has to define the segmenting criteria or their combination:

  • Segment by tags of the products

  • Segment by number of line items

The user can add up to 5 criteria, and rules will be applied in numerical order.

In case the user decides to split by tags, it is possible to select multiple tags to be applied for this purpose. The product doesn't need to have all of the tags, having any of the tags is enough to be properly related to a certain fulfilment order.

Example: In the situation shown above, the products will first be split by tag.
In case the tags attached to the products do not match any of the tags listed, the remaining part of the order will be split into fulfilment orders, each having 2 SKUs (the last one created can have only one line item in case the quantity of remaining line items after splitting by tag is odd).

Using position tags to select positions for auto-replenishments

The automation of replenishment tasks enables you to delegate the management of stock replenishment at your picking positions to PULPO WMS. The auto-replenishment rules configured in the warehouse will generate a movement task to restock products from positions with a specific tag once the stock in a picking position drops below the established threshold. This task will be created to refill the products up to the maximum threshold for a picking position set by the user. The task is triggered when the products picked from a picking position leave the warehouse.

USE CASE

The pallet positions holding bulk stock in the warehouse have the "volume" tag.
The user creates an auto-replenishment rule:
Position: M-1-1-1-1-1
Product: PULPO T-Shirt M
Min threshold: 5
Max Threshold: 45
Position tag to replenish from: volume

Every time the stock picked from the position M-1-1-1-1-1 leaves the warehouse, and the lower threshold is crossed, PULPO WMS creates a task to move the product from the "volume"-tagged locations to this position.

Using position tags to exclude stock from pickings

To set up the exclusion of the positions from the picking tasks, enable the setting in the Settings -> Outgoing -> Orders & Picking tab and activate the checkbox for the Exclude stocks on certain positions from picking setting.



Upon activation, the following positions can be excluded from pickings:
