Email Templates - Quartz

This article will help you understand how you can see email content and customise it on MDT.

There was no way to see the email contents for all of the sections like account activation, sales invoice, purchase invoice, etc. inside the application. The team has kept this in mind and has now given you the provision to see the email contents for all of those templates, and you can customise them as you wish.

We have created a new menu called "Email Template" below the Import menu for you (Agency Admin) to see the email contents for all sections.

When you click on that menu, it will redirect you to the new screen.


You can see all the system-defined email templates on the screen by default. The first 10 templates will be visible on the first page; you can go to the second page for the remaining templates or change the items per page at the bottom of the screen to see the entire list.

You can search for specific templates using the top filter.


There is also an in-grid filter available on the screen to search within the page.


You can view the contents of each email template using the view (eye) icon against it.



Create custom email templates for system-defined templates

You (Agency admin) will also now be able to edit the system-defined templates as you wish and then save them. After saving that template, the updated email content will be sent to candidates/clients based on the template you're updating.

To update the email content for the system-defined template (example : Sales Invoice), you have to click "Create" in the top right corner of the screen.


After clicking "Create," a slider will open, and you will have to select the system-defined template (example: sales invoice) you are going to update and then give the name for it.​


When selecting the template, the system default content will be displayed.


You can then update the template as you wish and be able to do the below mentioned things:

1) Update the email content inside the Template Content box like adding additional content, removing any content you think might be irrelevant, etc.
2) You can make use of these options and update the font as you wish.

3) You can add the user fields (default fields) wherever in the content box using the "Add Default Fields" button at the top. When you click that button, the fields will be displayed.

Choosing one of the fields (in this case, "Organisation") means your organisation name will be displayed dynamically in the place where you are using that field in the content box. It works similarly for other fields as well (Client, Payment Terms, Email, Address Info, Org Office Phone).


Example: Now you're going to add some content in the content box and add one of the user fields, and update the template.

You have added one extra line with the user field and submitted the template.

After creating the custom email template, you can see it in the email template screen by selecting "Custom" in the filter and clicking "Search".


You can now see the new custom template created for sales invoices called "Sales Invoice Updated Template". You can see the content using Pencil icon under Actions.


You can do two actions here: edit the template that you have created or delete it if you don't need it by using pencil and bin icons, respectively.

After creating the custom email template for any of the sections, the updated content alone will be sent when you send any emails from the system. It is the organisation level settings and not customisable per client (or) supplier (or) candidate level. For example, if you have an updated sales invoice email template, it will be sent to clients for all of the sales invoices sent from the system and not the system-defined one. It works the same for other email templates as well.

You can do similarly for other templates as well.
