How to Override Xero’s Promotional Pricing in Rechargly

If Xero applies a promotional price to a customer’s subscription, you may want to override it to charge the standard retail price instead. This guide walks you through the steps to ensure accurate billing and avoid customer confusion.

When onboarding a new customer to Rechargly, you may have already discussed the price they’ll pay for their Xero subscription. In some cases, a promotional price is automatically applied, and you may wish to override it to avoid confusion for the customer.

Follow the steps below to manually adjust the invoice and reflect the correct retail price.

Steps to override a promotional price

  1. Access the invoice

    Go to the Invoices page and locate the Draft or Scheduled invoice for the customer.

  2. Add a custom charge

    Click the three dots (•••) next to the invoice and select Add Custom Charge.

    Follow the instructions in the Add a Custom Charge guide.

  3. Enter charge details

    Input the correct retail price and any relevant details for the charge.

  4. Exclude the promotional pricing

    Go to the Charges page and locate the promotional charge. Exclude it from the invoice to prevent double charging.

  5. Review the updated invoice

    Return to the Invoices page and confirm that the invoice now reflects the correct retail pricing.

Important note

This is a manual process that must be maintained for the duration of the promotion. Once the promotional period ends, the customer’s price will automatically revert to the standard rate, and you will no longer need to maintain this adjustment.
