How To: Schedule Automatic Exports

Save time by scheduling recurring exports from your filter presets. DataSift will automatically prepare the file so all you need to do is download it.

Auto exports save you time by automatically generating your filtered record files on a set schedule — daily, weekly, or monthly. Once you set up a filter preset and schedule the export, DataSift handles the rest. All you need to do is download the file when it's ready.

If you have the SiftMap Pro add-on or are on our Expert or AI plan, you can combine scheduled exports with the Auto Add feature from SiftMap to fully automate your data pulling.

In this article, you'll learn how to:

  • Build and save a filter preset for your target records

  • Schedule an auto export on a recurring basis

  • Access and download your exported files


Step-by-Step: Setting Up a Scheduled Export

1. Create a Folder for Your Preset

Folders help you stay organized and control who receives email notifications when a scheduled export is ready to download.

Go to Records → Filter Records → Filter Presets and create a new folder.

Under the folder's sharing settings, choose who you want to have access to the folder. Only those with access to the folder will be able to see the folder. Soon we'll be sending out email notifications when the export is ready, and any users that have permission to view the folder will receive the export notification email.

2. Build Your Filter and Save as a Preset

With your folder created, add the filter blocks to define which records you want to export. For example, a cold calling preset might include:

  • Include: Your target list

  • Exclude Tags: Recently Sold, Do Not Market

  • Exclude Property Statuses: Any status (meaning the record has already been worked)

  • Params & Others: Phone Numbers → Yes

  • Call Attempts: 0 (first attempt only)

  • AI Score: 40 or higher (Expert/AI plan)

Once your filters are set, save as a preset.


Name the preset, select the folder you just created, and optionally check Add as Quick Filter so it appears as a shortcut on your Records page.

3. Schedule the Export

While saving your preset, you'll see the option to Schedule Export. Configure the following:

  • Frequency: Daily, Weekly, or Monthly.

  • Start Date: The date you want the first export to run.

  • End Date: The date you want the schedule to stop.

Under Export Settings, choose which phone number types to include. The defaults work for most use cases. Some exceptions:

  • For SMS campaigns: exclude Landline and VOIP numbers.

  • For follow-up campaigns (e.g., Not Interested): select Export only correct numbers since you've already identified the right contact.

The file name defaults to the name of your preset, but you can customize it. When you're ready, click Confirm — your export is now scheduled.

4. Schedule an Export from an Existing Preset

If you already have filter presets and want to add a schedule to one, you don't need to recreate it. Simply:

  1. Open the folder containing the preset, or find it in your filter presets list.

  2. Click the export/schedule icon next to the preset name.

  3. Enter a file name, select your frequency, start date, and phone number preferences.

  4. Click Confirm.

5. Download Your Exported Files

Once a scheduled export runs, the file will be available under Activity → Downloads. You'll notice a new Auto Export type appears here alongside any manual exports you've done previously.

In a future update you'll receive an email when your file is available to download. That email will be sent to any team members that have permissions to view the folder the preset is saved in.
