Pulling Sold Data
Records can be updated to sold as you encounter them during marketing. You can also pull sold data in bulk from within your account using SiftMap, directly from the MLS (if you have access), or through Propstream's list automator.
Updating Sold Information While Marketing
If you're calling using Click-to-Call within REISift, you can update the records individually. First, click See in SiftMap:
Then select Add to Account
Next, toggle "Do not replace owners of existing Properties" OFF, tag as Sold and Sold MM/YYYY.
Pulling Sold Data in bulk with SiftMap
To pull Sold data in SiftMap, search by your market area (city, county, zip, or state), then select More Filters and enter in the last sold date range. Many investors pull sold records monthly. To exclude deed transfers, enter in $1,000 for the last sales price minimum.
Select the records, then click Add Records to Account.
Toggle "Do not replace owners of existing Properties" OFF to update the owner information to the new buyer.
Since these are sold records, we aren't adding to any lists. Just tag as Sold. You can also tag as Sold and the month and year (Sold MM/YYYY).
*Note: this will add all selected records to your account. When adding be sure to toggle to replace the owner information so you can update owner info for any existing records.
Resetting Sold Records with Sequences
You can use sequences to "reset" sold records by automatically removing lists, tags, tasks, and clearing the record assignee and property status.
Select Create New Sequence from the Sequences page. Name your sequence and choose a folder to save it in.
Select the Property Tags Added option for the Trigger and Condition. In the Condition, select the Sold YYYY tag (you will need to update/add tag for the sold year OR you can tag just as Sold).
For the Actions, select the following:
Clear Property Tasks
Remove Property Lists - Select each of your lists
Remove Property Tags - Select any tags you want to remove
Assign Property - Clear Assignee
Change Property Status - Default
***Typically we do not recommend deleting phone numbers, as the new owner may own other properties in your account, however, if you decide to delete the phone numbers from the sold records you can do so by filtering by the sold MM/YYYY tag, then select all records and go to manage -> Delete Phones.
The action for deleting phones in your account cannot be undone.
You can also reset any marketing attempts for the record by filtering for the sold date tag, then selecting all records and going to Manage -> Update Attempts and toggling to set all attempts to 0.
Reviewing Sold Data
Regularly reviewing or auditing sold records can help identify gaps in your processes.
Was the buyer an investor? They could be a potential buyer for your future properties.
Was the property purchased by another wholesaler? If another wholesaler purchased the property, ask yourself: are you working to be first to market? Reach out to the wholesaler to learn how they secured the deal. They may be using a different strategy (e.g., SMS, direct mail, cold calling) that’s effective in your market.
Incorporate these strategies into your business processes and track your KPIs to evaluate the results.
