In this tutorial, we'll guide you through setting up filter presets for a bulk cold calling flow in your REISift account. These presets will help you streamline your cold calling campaigns and save time on filtering records.
Creating a Folder
First we're going to create a folder to save the custom filter presets in. From the Records page, select Filter Records. Then click Load or Filter Presets towards the bottom of the filters and select Create New Folder.
Next, name your folder, select who you want to access and click Create Folder.
Creating the Filter Presets
Now that the folder is created, we'll be creating presets for skip tracing and your cold calling attempts. All filters can be saved to your Cold Calling folder.
Pro Tip: Number the presets so they appear in the order you'll be filtering by.
Filter Preset 1. Not Skip Traced
This preset will show you records that have not been skip traced yet.
Select the Any Lists filter and include each of your First to Market lists, or any lists you are targeting.
Add the Params & Others filter and select Numbers -> No and Skip Traced -> No
Add the Property Status filter and exclude all property statuses.
Once you've added all the filter options above, select the save icon to save a new preset and name the preset 1. Not Skip Traced. Select the Cold Calling folder then Save Preset.
Filter Preset 2. Needs First CC Attempt
This preset shows you the records that are ready to market to.
Select the Any Lists filter and include each of your First to Market lists, or any lists you are targeting.
Add the Params & Others filter and select Numbers -> Yes.
Add the Property Status filter and exclude all property statuses.
Add the Call Attempts filter and enter in a minimum and maximum of 0.
After you send the records for their first attempt, you'll select all records then go to Manage -> Update Call Attempts. Select to increment the attempt by 1. If you are using a click to call dialer you will increment the call attempts within the record after you call all numbers.
Filter Preset 3. Call Attempts 1-6
This presets shows you the records that have had between 1 and 6 call attempts so you can send back to the dialer for your next follow up attempt.
Select the Any Lists filter and include each of your First to Market lists, or any lists you are targeting.
Add the Params & Others filter and select Numbers -> Yes.
Add the Property Status filter and exclude all property statuses.
*Note: If you are using click to call and changing the status to Follow Up after the initial call, include the Follow Up property status in this filter.Add the Call Attempts filter and enter in a minimum of 1 and maximum of 6.
OPTIONAL: Add the Last Updated Field filter and select the Call Attempts Field. In the last updated date, select the Prior to tab and enter in 100 days prior to yesterday. This basically says the call attempts would need to be updated sometime BEFORE yesterday and prevents records you just called from being sent back for the next attempt during the same day.
Each time you send the records back to the dialer, be sure to select the records and increment the call attempts by 1.
Filter Preset 4. Call Attempts 6+
This filter shows you results for records you still have not reached after the 6th attempt. For these records you can skip trace in another location and try calling for a few more attempts or try a different marketing strategy like direct mail.
Select the Any Lists filter and include each of your First to Market lists, or any lists you are targeting.
Add the Params & Others filter and select Numbers -> Yes (optional for this filter)
Add the Property Status filter and exclude all property statuses.
*Note: If you are using click to call and changing the status to Follow Up after the initial call, include the Follow Up property status in this filter.Add the Call Attempts filter and enter in a minimum of 6.
Sending Records through Integrations
Select Records:
In the filter results, select all records you wish to send.Send to Integrations:
Go to Send to → Integrations and choose your preferred dialer or integrationSetup:
Phone Types and Statuses: Choose the phone types and statuses to send. For prospecting, select just the No Status phone status option.Campaign Information: Enter the campaign name or ID to send the records to.
Additional Tags: REISift automatically adds tags for where and when you’re sending the records. You can also add custom tags.
Review and Send:
Review the information to ensure it’s correct, then select Send Contacts.
Once the action is processed (you can track progress in Activity → Predictive Dialer), increment your call attempts by 1.Repeat:
After completing the first call attempt, return to REISift, select the Call Attempts 1-6 preset, and repeat the process.
Note: Property and call statuses will update automatically based on dispositions in your dialer if you are on our Business Plan with direct integration. If you’re not on the Business Plan or are not directly integrated, update this information by exporting from your dialer and then uploading it.
