Overview
This article defines common RentEngine and leasing terms used throughout the platform so your team can work from the same understanding.
Lead or Prospect
A lead or prospect is a potential renter who is interested in a property.
If a single person is interested in multiple properties, they will be counted as a prospect for each property
Command Center
The Command Center is the main workspace in RentEngine.
Your team uses it to:
Respond to prospects via text message (the primary channel of communication in RentEngine)
Answer and place phone calls
Add notes
Track follow-ups
Monitor showing activity
Update statuses
Most day-to-day leasing work happens here.
Showing
A showing is a scheduled time for a prospect to view a unit.
RentEngine uses “showing,” not “tour,” except when referring to Zillow Instant Tour.
Showings can be:
Accompanied
Self-guided
Remote-guided
Smart Scheduling
Smart Scheduling automatically calculates showing times for Accompanied showings based on:
Property availability
Agent availability
Scheduling rules
This prevents double booking and reduces manual coordination.
Prescreening
Prescreening applies rules that determine whether a prospect can schedule a showing.
Prescreening can:
Approve or reject a scheduling request
Enforce criteria like income or voucher acceptance
Prescreening rules are configurable by admins and member roles. They can be accessed in Settings > Showings > Prescreening
Leasing Event
A leasing event is a step taken in the leasing journey by a prospect. Leasing events can be add automatically based on prospect's activity (like scheduling a showing) or manually (by adding a Leasing Event with the "Action" button)
A leasing event appears in blue within the Command Center message history.
Prospect status
A prospect status reflects where a prospect is in the leasing process (their most recent Leasing Event).
Statuses help your team:
Schedule automatic follow-ups
Prioritize manual follow-ups
Keep reporting accurate
Statuses update automatically based on prospect's activity (like scheduling a showing) or manually (by adding a Leasing Event with the "Action" button)
Eligible team members
Eligible team members are:
People on the subteam for the property that a prospect is linked with
Every RentEngine user, if the caller is not a prospect for any property yet (unknown caller) OR there isn't a subteam for that property
Eligible team members will automatically receive all applicable notifications for that prospect, unless they update their notification settings.
Self-guided showing
A self-guided showing allows a prospect to access a unit without an agent present.
Access is time-limited and controlled through lockboxes or access codes.
Accompanied showing
An accompanied showing requires an agent or team member to attend.
RentEngine schedules the showing but does not grant self-access.
Remote-guided showing
An remote-guided showing lets the prospect see the property by themselves but lets your team to call them with an access code and walk them through the property virtually (via phone call or video call).
RentEngine schedules the showing but does not grant self-access.
Lockbox
A lockbox provides secure access to a unit during a showing window.
RentEngine supports multiple lockbox providers and controls when access is granted.
Application
An application is submitted by a prospect after a showing or approval step.
Applications may:
Sync to your property management system
Be grouped with other applicants
Trigger status updates
Days on market
Days to market measures the number of days between a unit becoming available on RentEngine and being taken off market.
This metric is used in reporting and Intelligence dashboards.
Conversion rate
Conversion rate measures how many prospects result in a submitted application.
It is typically calculated as:
Prospects → Showings → Submitted Applications
Intelligence
Intelligence refers to RentEngine’s reporting and analytics tools.
Intelligence helps teams:
Measure performance by property
See real-time data on prospects, showings, prescreening and properties
Identify operational bottlenecks
