Overview
RentEngine AI is an intelligent leasing assistant built into RentEngine that can automatically help prospect via text or voice call and move leads through your leasing pipeline. You can turn it on or off, customize how it communicates, and control when it’s active.
RentEngine AI works alongside your existing workflows, preserving showing rules, prescreening requirements, and company tone. It helps you answer more leads faster without added manual work.
What RentEngine AI does
When RentEngine AI is active:
It automatically responds to new leads via text or call
It can capture prospect details
It can answer most questions, like property details, leasing policies, etc.
It can help them find matching homes
It can schedule showings based on availability
It honors your prescreening rules and showing policies
It uses your tone and custom instructions to stay on brand
If AI encounters a question it cannot confidently answer, RentEngine will escalate the conversation to your team so you can step in.
Where to find RentEngine AI settings
Go to Settings → Communication → RentEngine AI in your RentEngine dashboard.
From here, you can manage all AI controls.
Turn AI on or off
Toggle RentEngine AI to enable or disable it.
You can also individually enable or disable AI Texting and AI Calls.
When AI is turned on, it will begin responding to texts and calls automatically using your configured settings.
Customize AI messaging
You control how the AI communicates with prospects through:
Tone selection — choose from options like Neutral, Workplace Casual, or Professional.
Custom instructions — add specific training to the AI (for example, “Always ask about move-in timeline early” or “Emphasize quick application turnaround”).
Custom tones and instructions help ensure the AI responses always match your brand voice and leasing policies.
Schedule when AI is active
You can customize when RentEngine AI is on using the built-in scheduler.
Block out hours when AI should be active in orange (e.g., after hours only)
Or run AI 24/7 to handle all your leasing communication
The scheduler uses a simple grid where shaded blocks represent active AI hours.
Fine-tuning responses
RentEngine AI is already trained on your portfolio data, property details, and leasing processes. You can further enhance conversations by using Snippets.
Go to Settings → Communication → Snippets.
Snippets provide specific answers or guidance the AI should use in responses.
Update or create snippets to help AI handle niche questions or property-specific policies.

Escalating messages
When the AI is unable to answer a question confidently, it will escalate it to the eligible team members. The exact process depends on if it's a call or text:
Calling
The AI will let the prospect know that it's not able to answer the question and will loop in a team member who can follow up during business hours
The AI will continue the rest of the conversation and help the prospect with the rest of their requests/questions
The AI will send an escalation email notification to the eligible team members, summarizing the conversation and where they need to step in
The prospect will show with a black dot in the Command Center (unanswered) until you respond by call or text
Texting
The AI will let the prospect know that it's not able to answer the question and will loop in a team member who can follow up during business hours

Best practices
Set operating hours that match your team’s business hours or 24/7 coverage strategy
Customize tone and instructions to ensure every response aligns with your company voice
Use snippets to fine-tune answers for specific questions or scenarios
