Configure your inbound call experience

Overview

Each RentEngine account includes a dedicated leasing phone number that prospects can call. You can control what happens when they call.


Option 1: Phone Tree

This is the default configuration. When a prospect calls in, they have the option to:

  • Press 1 to get a text message with the scheduling link

  • Press 2 to talk to your leasing team

If the prospect presses 2, the call will ring to all eligible team members.

Eligible team members are:

  • People on the subteam for the property that prospect is linked with

  • Every RentEngine user, if the caller is not a prospect for any property yet (unknown caller) OR there isn't a subteam

Eligible team members can use the Do Not Disturb feature (in the phone app and desktop) to not receive inbound calls


Option 2: Voice AI (recommended)

When a prospect calls in, they'll be greeted by RentEngine AI which will help them schedule a showing, find properties that meet their needs, register them as a prospect, and move them through the leasing journey.

If a prospect is in certain stages (like application received or showing confirmed for an accompanied showing), their calls will ring directly to eligible team members.

To set up RentEngine AI for calls, navigate to Settings > Communication > RentEngine AI and choose the AI Calls option. There you can customize the schedule for Voice AI (orange). For hours where Voice AI is off, the phone tree will greet callers.


Option 3: Forward calls to an external number (not recommended)

If you'd like to forward all inbound calls to an external phone number, please reach out to RentEngine support via chat and share the desired forwarding number.

Note: You can still use Voice AI in conjunction with this option. For the hours where Voice AI is enabled AI will take the phone calls. For all other hours it will forward inbound calls to this external number.
