Overview

RentEngine makes it easy for prospects to schedule showings on their own, while giving your team full visibility and control. Showings can be scheduled automatically through listing links or manually from the Command Center.

This article explains both workflows and what happens after a showing is scheduled.


How prospects schedule a showing (most common)

Most showings are scheduled directly by prospects.

  1. A prospect clicks the scheduling link from:

    • Your website

    • A text message in the Command Center (either automatic or manual)

  2. They select an available time

  3. They complete any required prescreening or verification

  4. The showing is scheduled

Once scheduled:

  • The showing appears in RentEngine immediately

  • Prospects are notified of a successfully scheduled showing

  • Showing agent is notified via push notification and calendar invite

  • Current tenant is notified, if a tenant-occupied property

  • Reminders and confirmations are scheduled, based on showing type

No manual action is required from your team.


How to schedule a showing manually

You can also schedule a showing on behalf of a prospect.

  1. Open the Command Center

  2. Select the prospect

  3. Click Action at the top of the conversation

  4. Choose Schedule showing

  5. Select an available date and time (and agent if applicable)

  6. Press "Submit"

Once scheduled:

  • The showing appears in RentEngine immediately

  • Prospects are notified of a successfully scheduled showing

  • Showing agent is notified via push notification and calendar invite

  • Current tenant is notified, if a tenant-occupied property

  • Reminders and confirmations are scheduled, based on showing type


Important notes

  • A prospect can only schedule during available showings windows

  • A prospect cannot directly schedule a showing if the property is On hold

  • Prescreening must be completed before scheduling (if enabled)

  • Self-guided showings require a connected lockbox

  • Conflicting or duplicate bookings are prevented automatically


Best practices

  • Let prospects self-schedule whenever possible

  • Keep calendars and availability up to date

  • Use manual scheduling only when needed

  • Review missed or canceled showings daily
