Overview
You can require that all showing requests be approved manually before they are confirmed. This gives your team control over every scheduled time and prevents automatic bookings when you need to verify details first.
This setting applies to both accompanied and self-guided showings.
When to use manual PM approval
Enable manual PM approval when:
You need to personally review every prospect before booking
You want to ensure availability before scheduling is finalized
Manual approval ensures prospects never receive access codes or confirmations until your team approves them.
How it works
When manual approval is enabled:
A prospect selects a time and completes the prescreening
If the prescreen is approved, the showing will enter "Showing Pending" status and your team will be notified
You can approve or deny the request manually
Once you approve, the showing is scheduled and confirmation/reminders are queued
Turn on manual PM approval
Open Properties
Select the property
Click Take action β Edit property
Navigate to Step 2 (Showings)
Press "See More" and find the "Require PM approval" option
Turn it on
Click "Next" to save
Once saved, manual approval applies to all future showing requests for that property.
Note: you can set this as a company-level setting here. Please not, this will apply to all new properties that are activated. To apply it to existing units, please use the bulk update guide here.
Approve a showing request
Go to Command Center
Find the prospect with a pending showing
Open their conversation and find the Showing Pending leasing event
Click "Approve"
This schedules the showing and triggers:
Scheduling messages
Reminders
Code generation at showing time (if applicable)
The showings calendar updates automatically.
Deny a showing request
Go to Command Center
Find the prospect with a pending showing
Open their conversation and find the Showing Pending leasing event
Click "Reject"
Optional: customize the message that is sent
Denied requests do not schedule a showing.
Notifications and timing
When manual approval is required:
Agents and assigned team members receive alerts for pending requests
Prospects get a message confirming their request is received
No showing is scheduled until approval
Best practices
Use manual approval for high-demand or sensitive properties
Combine with strict prescreening for extra control
Check pending approvals regularly throughout the day
Add internal notes explaining special conditions
Manual approval improves control but should be monitored to avoid delayed responses.
