Promote referrals in-office (Strategy)

Learn how to promote referrals during check-in, checkout, and treatment so your best patients become a reliable source of new app sign-ups.

Overview

One of the fastest ways to grow your patient base is through referrals from existing patients. RepeatMD makes that easier with one-click referral sharing right from your Patient App.

This guide walks you through how to talk about referrals with patients during check-in, checkout, or treatment, and how to set your team up to confidently promote this growth feature in practice.

This article is for practice owners, managers, and front desk staff who want to make referrals part of the in-office routine.

Before You Start

  • Confirm your referral welcome offer is configured in the Admin Panel before you promote referrals in-office.

  • Make sure your Internal QR code and in-office signage are visible at checkout and check-in. See Use your RepeatMD QR codes (Admin Panel).

  • Brief your team on where patients find Refer a Friend or Invite Friends in the Patient App.

  • At this time, referring patients do not receive rewards. See FAQs below for the current referral reward status.

Why It Matters

Referrals are one of the highest-quality sources of new patients, and RepeatMD makes them frictionless. With one tap in your app, current patients can send a welcome offer to friends, who are instantly linked to your practice.

When you make referrals part of your in-office routine:

  • You gain new patients directly into your database

  • You reinforce patient loyalty by giving them something to share

  • You grow faster, with no added ad spend

Practices that actively promote referrals see higher app usage, stronger engagement, and faster growth, especially when staff introduce the feature face-to-face.

How It Works

In-app referral flow. Patients tap Refer a Friend or Invite Friends in the Patient App, share a link, and their friend receives your configured welcome offer when they download the app.

What the referred friend receives. They receive a welcome offer when they download your app using the referral link. Offers vary by practice based on your Admin Panel settings.

What the referring patient receives. At this time, patients who refer do not receive rewards. An upcoming feature release will make referrer rewards possible.

In-office reinforcement. Staff introduce the feature during natural moments in the visit, and printed or digital signage at checkout reminds patients to share.

Step-by-Step Instructions

Point out the referral button in your app

Show patients where to find the Refer a Friend or Invite Friends button inside your app. It is typically available on the home screen or in the rewards section.

“See this Invite a Friend button? When you tap that, you can send a welcome offer to a friend. It links them directly to our app and connects them to your referral.”

Prompt patients at checkout or during treatment

Use natural moments in the visit to highlight the referral feature:

During checkout:“If you know someone who would love our treatments, you can send them a welcome offer right from your app. It just takes a second.”

During consultation or service:“We have a referral program built into the app. Most of our new patients find us through friends. You can send someone a promo right from your phone.”

Use physical touchpoints

Leverage printed signage or digital signage to reinforce referrals:

  • Create a sign or frame near your checkout area with your app QR code and “Ask us about our referral program!”

  • Include referral prompts in your counter cards or check-in flow.

Best Practices and Pro Tips

  • Practice the pitch: Have your front desk team practice a simple one-line script so it becomes second nature.

  • Make it about the patient’s friend: Emphasize the welcome offer their friend will receive.

  • Mention it multiple times: Patients may not take action the first time. Repeat exposure helps.

  • Make it a conversation starter: “Who do you know that has been wanting to try this?”

  • Pair with email and text campaigns: Reinforce referrals across channels. See Promote your app via email (Admin Panel) and Promote your app via text (Admin Panel).
