New patients: sign up and download your Patient App (Admin Panel)

Learn how to guide new patients through signing up and downloading your Patient App during their first visit.

Overview

Getting new patients into your Patient App is the first step toward rewards, RepeatCash, in-app purchases, and check-ins. This article walks front-desk staff through two sign-up paths: scanning the QR code first (recommended at check-in) or downloading the app first (for patients who were prepped via social media).

Before You Start

Why It Matters

The faster a new patient signs up, the faster you can:

  • Track their reward progress and deliver sign-up bonuses.

  • Drive repeat visits through visit-based rewards and RepeatCash.

  • Enable in-app purchases for memberships, packages, and treatments.

  • Record check-ins that count toward their loyalty program.

How It Works

Account creation: New patients verify their phone number via SMS code, complete a short profile, and link to your practice by scanning the Internal QR code.

App download: After initial sign-up in the mobile browser, patients are prompted to download the native app. The app icon updates to your practice branding after login.

Sign-up reward: When a new patient completes sign-up (including via referral link), they unlock the sign-up reward you configured in the Admin Panel.

Step-by-Step Instructions

Flow A: Scan QR code first (recommended at check-in)

  1. Ask the new patient to open their phone camera and scan the Internal QR code.

  2. If not already logged in, the patient enters their phone number and taps Log in or Sign up.

  3. The patient enters the SMS verification code.

  4. The patient completes their profile (name, email, etc.).

  5. Download banners appear. Ask the patient to tap Open or follow the link to the app store.

  6. The patient downloads MyRepeat: Patient Rewards.

  7. After download, the app appears on the home screen as Patient Rewards (icon updates after login).

  8. The patient is automatically logged in. If not, have them log in with the same phone number.

  9. Ask the patient to scan the Internal QR code again to check in.

Flow B: Download app first

Use when the patient was told to download before arriving.

  1. Ask if the patient has the MyRepeat or Patient Rewards app. If not, have them download it from the app store.

  2. Open the app.

  3. Enter phone number and tap Log in or Sign up.

  4. Enter the SMS verification code.

  5. If no account exists, select Scan QR code in location.

  6. Scan the Internal QR code at your check-in area.

  7. Complete profile setup.

  8. The app icon updates to your practice branding. Check-in is complete.

Best Practices and Pro Tips

  • Use Flow A for walk-in first visits — it is the fastest path from QR scan to account + check-in.

  • Mention the sign-up reward while coaching the patient. It increases completion rates.

  • Set expectations on the app name. Patients see Patient Rewards on their home screen, not your practice name.

  • If the patient was referred by a friend, their sign-up reward unlocks automatically when they complete registration.

Common Mistakes and FAQs

Q: The patient scanned the QR code but didn’t get a sign-up reward.

A: Confirm you have an active Sign-Up Reward in the Admin Panel. The patient must complete full registration, not just download the app.

Q: Should I use the Internal or External QR code?

A: Internal for in-practice check-in and sign-up. External is for public download materials only (no check-in).

Q: The patient is already logged in when they scan. What next?

A: Skip to check-in (Flow A, step 9). They do not need to sign up again.

Q: Can new patients sign up without coming to the office?

A: Yes, if you share app download instructions or an External QR code on print materials. They will need to visit to check in and earn visit-based rewards.
