Overview
Adonis and Aria are RepeatMD’s AI treatment advisors. By default, they are neutral, friendly, and professional; trained on your catalog, pricing, and patient preferences.
Custom instructions let you add practice-specific context so responses sound like your team.
This article is for practice owners, managers, and admins who configure AI advisor behavior from the Admin Panel.
Before You Start
You need Admin Panel access to Adonis & Aria settings.
Open Adonis & Aria from the left-side navigation, then Settings.
Review the default starter questions patients see when they begin a conversation. You can update those prompts separately from custom instructions.
Changes apply to new conversations after you save (instructions auto-save as you type).
Why It Matters
Custom instructions help you:
Reinforce brand voice: tone, warmth, and clinical confidence that match your practice.
Surface policies consistently: consultation fees, membership savings, and booking rules patients ask about repeatedly.
Reduce front-desk repeat questions: advisors answer common pricing and treatment questions with your preferred framing.
Without custom instructions, Adonis and Aria still work using your catalog data. Custom instructions fine-tune how answers are delivered.
How It Works
Default behavior: Adonis and Aria use RepeatMD’s training plus your practice’s catalog, pricing, and preferences. They do not require custom instructions to function.
Custom instructions layer: The free-text Custom Instructions field adds rules and context on top of defaults (for example, “mention our membership when patients ask about Botox pricing”).
Auto-save: Instructions save automatically when you edit the field. Test in the patient app after changes.
Starter questions vs. custom instructions: Starter questions are the suggested prompts patients tap to begin a chat. Custom instructions shape how advisors respond across all questions. Configure both on the Settings page.
Step-by-Step Instructions
Add or update custom instructions
Log in to your Admin Panel.
Click Adonis & Aria in the left-side navigation.
Click Settings.
Review default starter questions if you want to update patient prompts while you are on this page.
Scroll to Custom Instructions.
Enter practice-specific rules and context in the text field. Examples:
When patients ask about consultation fees, remind them we offer free first visits.
When someone asks about Botox pricing, always mention we have a membership that lowers cost per unit.
Use a warm, encouraging tone, our patients should always feel supported.
Wait for auto-save to complete (or confirm save if your UI shows an explicit control).
Test Adonis or Aria in your app
Open your practice’s patient app as a test user (or use your team’s internal test flow).
Start a new conversation with Adonis or Aria.
Ask common patient questions (pricing, memberships, consultation policies).
Confirm responses follow your custom instructions.
Return to Settings and refine instructions until tone and content match your practice.
Best Practices and Pro Tips
Reinforce your brand: Add tone guidance (for example, “encouraging and approachable” or “clinical and confident”) so advisors sound like your staff.
Use clarity over creativity: Patients value clear, direct answers over clever phrasing.
Be specific about policies: Call out fees, memberships, and booking rules you want mentioned every time.
Test after every meaningful edit: Instructions apply to new chats; verify with real patient-style questions.
Keep instructions maintainable: Long rule lists are harder to audit; prioritize high-impact policies first.
Common Mistakes and FAQs
Q: What happens if I do not add custom instructions?
A: Adonis and Aria are ready from day one. They use your catalog, pricing, and patient preferences. Custom instructions only fine-tune tone and policy emphasis.
Q: How specific should I get?
A: Be as specific as needed for your practice, but keep individual rules concise and patient-friendly.
Q: Do changes affect conversations already in progress?
A: Custom instructions apply to new conversations after save. In-progress chats may not reflect mid-session edits.
Q: Can I customize starter questions and instructions separately?
A: Yes. Both are on the Adonis & Aria → Settings page. Starter questions control suggested prompts; custom instructions control response behavior.
Q: Who can edit custom instructions?
A: Staff with Admin Panel access to Adonis & Aria settings. Confirm role permissions with your practice administrator.
