Redeem rewards and treatments at check-in

Learn how patients choose what to redeem right after checking in and where your team sees those redemptions in the Admin Panel.

Overview

After a patient scans your location QR code to check-in, they can tap through to a dedicated screen that lists their available rewards and the treatments left in their wallet, select what applies to this visit, and redeem — without scanning a second time.

Everything they redeem shows up in the Admin Panel: on a Redeemed today card at the top of the client profile, and as labels on the matching row in Visit history.

The step is on by default for every platform. Practices that prefer the front desk to run redemptions can switch it off in App Builder without affecting check-in itself.


How It Works

What your patients see

1. Check in. The patient scans your location's check-in QR code and lands on the Check in successful! reward screen.

2. Choose what to redeem. If they have anything to use, they can choose what to redeem. It asks:

  • What rewards would you like to redeem? — their available in-store rewards

  • What services did you book today? — the treatments left in their wallet

The patient taps a card to select it. Treatments with more than one unit remaining show a quantity control once selected.Treatments that come from an active membership are marked Membership.

Patients who don't want to redeem anything for that visit can tap Not right now, which takes them to their Rewards page.

3. Confirmation. The same screen turns into a receipt: You're all set!"Let the team know you redeemed these in the app today" — listing each item and the quantity redeemed. From there they can tap View my rewards or Done.

When the step doesn't appear. The patient goes straight from check-in to the reward screen with no redeem action if they have nothing redeemable, if your platform uses Practice-Only Check-in/Redemption, or if the App Builder setting below is off.


Where your team sees redemptions

Redeemed today card. At the top of the client profile in your Admin Panel, a Redeemed today card lists everything the patient redeemed on the current day, with the quantity and the time of each redemption, labeled Reward or Treatment. When staff redeem or undo a redemption from the profile's Treatments card, this card updates without a page reload.

Visit history labels. Rows in Visit history are annotated with what was redeemed that day. Redemptions aren't tied to a specific visit record, so they're matched by calendar day — if a patient visits twice in one day, each redemption is attached to the nearest visit in time rather than duplicated under both. A redemption on a day with no visit isn't shown in Visit history, though it still appears on the Redeemed today card if it happened today.


Turn the check-in redemption step on or off

This feature is turned on by default. To turn it off:

  1. Log in to the Admin Panel.

  2. Go to App Builder in the left-side navigation and open Home for your platform.

  3. Scroll to the CHECK IN section, directly below APP LINKS.

  4. Toggle Allow patients to redeem rewards and treatments during check-in.

  5. This saves automatically.

When the setting is off, the reward screen shows no redeem action and patients redeem from Rewards or their wallet as before. Check-in itself is unaffected.


Best Practices and Pro Tips

  • Leave it on unless you have a reason not to. It defaults to on for every existing platform, so you don't need to do anything to get it.

  • Brief the front desk on the confirmation screen. It ends with "Let the team know you redeemed these in the app today" — pair that with a glance at Redeemed today on the client profile so staff can confirm before the appointment starts.

  • Watch multi-unit packages. Because patients can now type a quantity, a large laser or injectable package can be drawn down several units at once. Use Visit history labels to confirm the amounts match what was performed.


FAQs

Q: Does the patient have to scan the QR code twice?

A: No. Reward redemption reuses the location code from the check-in scan, and treatments follow the existing rule that a checked-in patient can redeem without scanning.

Q: A patient checked in but never saw the redemption screen. Why?

A: The most likely reasons are that they had nothing redeemable at the time, the App Builder setting is off for your platform, or your platform uses Practice-Only Check-in/Redemption.

Q: Does turning the setting off disable check-in?

A: No. Check-in works exactly as before — only the redemption step is removed.

Q: Can staff still redeem on the patient's behalf?

A: Yes. Redeeming and undoing from the client profile is unchanged, and those actions keep the Redeemed today card current.

Q: Why doesn't a redemption appear on a Visit history row?

A: Redemptions are matched to visits by calendar day. If there was no visit that day, the redemption belongs to no visit and is left out of the history. It still appears on the Redeemed today card on the day it happened.

Q: A patient visited twice in one day — will the redemption show under both visits? A: No. Each redemption is attached to the nearest visit in time, so it appears once.

Q: What does the Membership badge mean?

A: The treatment comes from the patient's active membership rather than a package they purchased outright. It was always redeemable here; the badge just makes the source visible.

Q: What happens if a patient types a quantity higher than their balance? A: The field snaps down to the amount they actually have, so they can't be shown a number they don't own. Clearing the field settles it back to 1.

Q: Can a location-level admin change the setting?

A: No. The toggle requires access to all locations and is disabled.
