Overview
Treatment-based memberships include a monthly benefit patients redeem through the Patient App. Each cycle, the member chooses one included treatment, books an appointment, and redeems in person by scanning your practice QR code.
This article is for practice owners, managers, and front-desk staff who guide members through the benefit flow and troubleshoot common questions about selection, booking, and in-office redemption.
Before You Start
This flow applies to treatment-based memberships with included monthly treatments (not Beauty Bank or credit-only memberships).
Included monthly treatments are never auto-added. Patients must choose their treatment each month.
Booking does not redeem the treatment. Redemption happens in person when the patient scans your internal QR code.
Rollover behavior depends on membership settings:
Rollovers on: Unused monthly treatments carry over.
Rollovers off: Unused monthly treatments expire at the end of the cycle.
Once a patient selects a monthly treatment, the choice cannot be changed.
Why It Matters
A clear monthly-benefit flow reduces front-desk friction and prevents double-charging or missed redemptions. When your team understands the three-step journey (choose → book → redeem), you can:
Set correct expectations that booking reserves the appointment only.
Avoid disputes about expired or rolled-over benefits.
Speed up check-in by directing patients to Wallet → Treatments → Redeem at arrival.
Train staff consistently on the difference between membership benefits and prepaid wallet purchases.
How It Works
Monthly selection: Each billing cycle, eligible members can choose one included monthly treatment from the options configured on their membership.
Wallet placement: After selection, the treatment appears in Wallet → Treatments, ready to book.
Booking vs. redemption: Booking schedules the appointment with your practice. It does not mark the treatment as used. Redemption always happens in the practice via QR scan.
Rollovers: If rollovers are enabled on the membership, unused selections remain available until redeemed or until your rollover rules limit them. If rollovers are off, unused benefits expire when the cycle ends.
Notification: When a monthly treatment is available to choose, a red notification indicator appears on the Memberships tab inside Wallet.
Step-by-Step Instructions
Choose the included monthly treatment
The patient opens the Patient App.
Tap Wallet (bottom-right of the screen).
At the top, select the Memberships tab.
If a monthly treatment is available, a red notification indicator appears next to Memberships.
Scroll to the monthly treatment section.
Tap Choose your benefit.
Select one treatment from the available list.
Tap Select.
On the confirmation screen, tap View my treatments.
Note: Once selected, the treatment cannot be changed for that cycle.
Book the appointment
The patient is taken to Wallet → Treatments.
Find the newly added treatment and tap Book.
Schedule the appointment with the practice.
Booking reserves the appointment only. The treatment is not redeemed until the patient scans your QR code in the office.
Redeem in the practice
When the patient arrives, they open the Patient App.
Go to Wallet → Treatments.
Tap Redeem next to the treatment.
Scan the practice internal QR code to complete redemption.
Best Practices and Pro Tips
Remind patients at booking time that they still need to redeem in the office. Booking alone does not use the benefit.
Place internal QR codes in treatment rooms and checkout areas so redemption is easy at arrival.
Explain rollover rules upfront when signing patients into treatment-based memberships.
Watch the Memberships tab indicator — if a patient says they have no benefit, check whether they already chose this month’s treatment.
Do not confuse with prepaid wallet items. Purchased treatments and packages follow a separate redemption flow.
Common Mistakes and FAQs
Q: What if a patient chooses a treatment but does not book right away?
A: The treatment stays in Wallet → Treatments until it is booked and redeemed, or until it expires if rollovers are off.
Q: Can a patient change their selected treatment?
A: Not by the patient. Once a treatment is selected for the cycle, it cannot be changed. However, the practice staff can go into the patient's client profile in the admin panel to then unselect and reselect a different treatment.
Q: What happens if a patient misses the month?
A: If rollovers are on, the treatment carries over. If rollovers are off, the treatment expires.
Q: How does the patient know a treatment is available?
A: A red notification indicator appears on the Memberships tab in Wallet.
Q: Does booking redeem the treatment?
A: No. Booking schedules the appointment. Redemption happens in person via QR scan under Wallet → Treatments → Redeem.
