Overview
Beauty Bank is a membership model that converts patient contributions on each successful billing-cycle payment into purchased RepeatCash stored in the patient’s Wallet. Billing can be monthly, quarterly, or another cadence you configure on the membership. This article shows you how to create, configure, and monitor a Beauty Bank membership from your Admin Panel.
This article is for practice owners, managers, and admins who want to launch or improve a Beauty Bank program that drives recurring revenue while giving patients flexible spending power.
Before You Start
You must have Marketing, Manager, or Administrator access to manage memberships.
Treatments and pricing should be configured before creating a Beauty Bank membership.
Decide which setup type fits your practice:
Auto-Bank for simplicity and predictable RepeatCash deposits each billing cycle
Choose From for flexibility when patients pick between banking value or selecting an included service
Beauty Bank memberships issue purchased RepeatCash as stored value after each successful membership payment.
RepeatCash is credited only after a successful membership payment. Admins receive an email notification when a payment fails.
Why It Matters
Beauty Bank helps practices build predictable recurring revenue without relying on deep discounts. Patients save toward treatments they want while your team maintains margin control through contribution amounts and (when needed) Support-configured full-price-only RepeatCash rules.
A well-configured Beauty Bank program also reduces front-desk friction: balances, usage, and redemption happen in the Patient App, so patients self-serve while your team monitors performance from the Admin Panel.
How It Works
Billing-cycle contributions become RepeatCash. After each successful membership payment for a billing cycle, the configured Beauty Bank amount posts as purchased RepeatCash in the patient’s Wallet. Example: membership price $300 every 3 months with $300 Beauty Bank → the patient receives $300 after the first successful payment and $300 after each successful quarterly renewal. Failed payments do not credit RepeatCash.
Auto-Bank vs. Choose From.
Auto-Bank — RepeatCash is added automatically each billing cycle. Best when you want a simple, set-and-forget savings model.
Choose From — Patients decide each billing cycle whether to bank RepeatCash or redeem a specific included service. Best when you offer treatment-based flexibility.
Redemption in the app: Patients apply purchased Beauty Bank RepeatCash at checkout as a payment method. By default it can be applied after a separate membership percentage discount. Balances update in real time in the Wallet tab.
Billing and crediting: Membership billing and RepeatCash balances update automatically each cycle. RepeatCash posts only after payment succeeds. Failed payments trigger an admin email so your team can follow up before the patient expects a new balance.
Rollover: Purchased Beauty Bank RepeatCash always rolls over. There is no setting to turn off Beauty Bank rollover. (Earned membership treatments can optionally be configured not to roll over — that control does not apply to Beauty Bank.)
Tracking and reporting. View individual balances from client profiles and program-wide trends from RepeatCash and Shop Summary reports in the Admin Panel.
Step-by-Step Instructions
Create a Beauty Bank membership
Log in to your RepeatMD Admin Panel.
Navigate to Catalog > Services.
Go to Memberships > Beauty Bank.
Click Create New Membership.
Choose a setup type:
Auto-Bank – Patients automatically receive RepeatCash each billing cycle.
Choose From – Patients can either bank RepeatCash or select an included service each billing cycle.
Set the contribution amount. This amount is traditionally the same as the membership cost, but you can choose a lower amount if needed. Currently, contribution amounts cannot be set higher than the membership cost.
Confirm the membership billing period (for example, every month or every 3 months). Beauty Bank credits on each successful payment for that period—not on a fixed monthly calendar unless the membership is billed monthly.
Set Minimum Period Commitment as the number of billing cycles (not calendar months). Example: for a membership billed every 3 months, enter 1 for a 3-month minimum, or 3 for a 9-month minimum.
Click Save & Add to membership.
Your Beauty Bank membership is now live and available to patients.
Edit an existing Beauty Bank membership
Click Memberships in the Catalog > Services section of the left-side navigation.
Find the Beauty Bank membership you want to update.
Click the three-dot menu and select Edit Membership.
Choose Edit for new & existing members or Edit for new members only based on whether current members should receive the change.
Update Beauty Bank settings, bonuses, visibility, or other editable fields as needed.
Save your changes.
When existing members receive new Beauty Bank credit
Edit for new members only: Creates a new membership version. Existing members stay on legacy terms and do not receive the new Beauty Bank credit.
Edit for new & existing members: Existing members receive the Beauty Bank credit after their next successful membership payment, not immediately and not retroactively for past paid cycles.

View and adjust RepeatCash balances
View a patient’s balance
Click Client Profiles in the left-side navigation.
Open the patient’s profile.
Go to RepeatCash History to see the patient’s total balance and activity.
Adjust a balance manually
Admins with appropriate permissions can add or deduct RepeatCash for in-office transactions or corrections. See Add RepeatCash to a patient’s wallet for the manual adjustment flow.
Monitor program performance
Open the RepeatCash report in the Admin Panel to review usage trends and patient engagement.
Use the Shop Summary Report to confirm payment completion and reconcile transactions.
Patient experience (what patients see)
Open the RepeatMD app and go to Wallet.
View the available RepeatCash balance.
Select a treatment from the Shop tab.
Apply RepeatCash at checkout and complete the purchase.
Best Practices and Pro Tips
Start with Auto-Bank if you are new to Beauty Bank. Move to Choose From once your team is comfortable explaining the monthly or quarterly choice to patients.
Align contribution amounts with your menu. Set contributions patients can realistically save toward higher-ticket services over a few cycles.
Explain stacking clearly. Train staff that purchased Beauty Bank RepeatCash pays down the balance after any membership percentage discount—it is not an extra percentage off. (If Support has restricted RepeatCash to full-price items only for your practice, train staff on that exception.)
Train front desk and providers to explain RepeatCash as stored value, not a discount.
Review reports monthly. Use RepeatCash and Shop Summary data to tune contribution levels and spot failed-payment patterns early.
Handle failed payments promptly. RepeatCash does not credit until payment succeeds; proactive outreach prevents patient confusion.
Common Mistakes and FAQs
Q: What’s the difference between Auto-Bank and Choose From?
A: Auto-Bank automatically adds RepeatCash each billing cycle. Choose From lets patients decide each cycle between banking RepeatCash or selecting an included service.
Q: Does Beauty Bank only work with monthly memberships?
A: No. Beauty Bank credits on the membership’s billing cycle. Example: a membership that charges $300 every three months with $300 Beauty Bank credit issues $300 after the first successful payment and again after each successful quarterly renewal—not after each calendar month and not only at enrollment.
Q: When is RepeatCash credited after billing?
A: After a successful membership payment is processed—including the first successful enrollment payment and each successful renewal. Failed payments do not credit RepeatCash, and admins receive an email notification.
Q: Can patients use purchased Beauty Bank RepeatCash together with a membership percentage discount?
A: By default, yes. Purchased RepeatCash is a payment method applied after the membership discount. Example: $700 treatment with 20% Signature discount → $560; apply $300 RepeatCash → $260 remaining (before tax/fees). If Support has restricted RepeatCash to full-price items only for your practice, it would not apply on discounted amounts.
Q: Can I control which services RepeatCash can be used on?
A: You can’t choose a custom list of eligible treatments for RepeatCash in the Admin Panel. If you need RepeatCash limited to full-price items only (so it can’t be applied on discounted purchases), contact Support and we can update that for your practice.
Q: Does purchased Beauty Bank RepeatCash expire or stop rolling over?
A: Purchased Beauty Bank RepeatCash does not expire and always rolls over. Unlike earned membership treatments (which you can configure not to roll over), there is no setting to turn off Beauty Bank rollover. Promotional rewards or bonuses may have separate offer terms—do not confuse those with purchased Beauty Bank credit.
Q: What should I enter for Minimum Period Commitment on a quarterly membership?
A: Enter the number of billing cycles, not calendar months. For a membership billed every 3 months: 1 = one quarterly cycle (3 months); 3 = three quarterly cycles (9 months). For a 3-month minimum on quarterly billing, enter 1.
Q: Can I change my Beauty Bank setup later?
A: Yes. Edit membership settings from the Memberships page. Use Edit for new members only when you do not want to change terms for existing members. If you use Edit for new & existing members, existing members receive new Beauty Bank credit after their next successful membership payment—not immediately or retroactively.
Q: Purchased Beauty Bank vs promotional rewards?
A: Purchased Beauty Bank RepeatCash is funded by successful membership payments. Promotional rewards/bonuses are incentives and may have separate earning, eligibility, or offer terms. After cancellation, previously issued purchased Beauty Bank balance typically remains usable; membership percentage discounts end when the membership is inactive.
Q: Where can patients see their balance?
A: Patients view their balance in the Wallet section of the Patient App in real time.
Q: Can I offer multiple Beauty Bank tiers?
A: Yes. Create multiple Beauty Bank memberships with different contribution levels.
