Managing Labor & Productivity

This guide explains how DORs can monitor labor activity, review therapist productivity, and track clock-in/clock-out behavior using the Productivity & Labor tools. These tools support accurate billing, staffing decisions, and daily operational oversight.

Overview

RESTORE-Insights provides several labor management tools that help DORs evaluate staffing efficiency and ensure documentation and billing align with worked time.

Productivity is calculated from:

  • Clock-in/Clock-out entries

  • Daily Notes submitted

  • Minutes billed per patient

These tools support visibility into team performance and help identify where staffing or workflow adjustments may be needed.


Navigating Labor & Productivity Tools

1. Productivity Metrics on the DOR Dashboard

At the bottom of the DOR Dashboard you will see:

  • Productivity This Week

  • Productivity Month-to-Date

  • Clock-In / Clock-Out Summary

  • Labor Log Details

  • Group/Concurrent %

These widgets provide a quick overview of departmental performance.


2. Productivity & Labor Reports (Reporting Tab)

Under Reporting, you will find detailed labor reports, including:

  • Productivity This Week

  • Productivity Month-to-Date

  • Productivity & Efficiency

  • Productivity, Efficiency & Modes by Therapist

  • Therapist Daily Billing Log

  • Hours by Discipline & Employment Type

  • Clock In / Clock Out Report

  • Labor Expenses Report (Enterprise only)

Each report allows filtering in different ways depending on the report type.

These reports provide deeper insight into labor utilization, billable trends, and performance by therapist, discipline, or date range.


Key Productivity Metrics

RESTORE-Insights automatically calculates:

  • Billable Minutes- Minutes documented on submitted Daily Notes.

  • Worked Minutes- Total time a therapist is clocked in.

  • Productivity %- Billable Minutes ÷ Worked Minutes

  • Group / Concurrent %- Breakdown of treatment modes based on scheduled encounters.

  • Efficiency Indicators- Helps identify under-billing, over-scheduling, or time gaps.

Enterprise settings determine productivity targets and can override expectations for individual clinicians.


Clock-In / Clock-Out Management

Therapists clock in and out from the upper-right menu of the EMR.

Important behaviors:

  • The system auto-clocks out at midnight to prevent inaccurate shifts.

  • Therapists must clock in before creating documentation to ensure productivity is calculated correctly.

  • If a therapist forgets to clock out, the shift will extend until midnight.

Editing Punches

Therapists can edit their own punches:

  • Navigate to Labor Management

  • Locate the shift

  • Update incorrect entries

Therapists can only edit their own entries.

DORs should monitor for:

  • Missing punches

  • Extended shifts

  • Overlapping times

  • Irregular work patterns


Labor Log Details (DOR Dashboard)

This table provides a detailed breakdown for each therapist.

Columns include:

  • Therapist

  • Discipline

  • Date of Service

  • Productivity %

  • Billable Minutes

  • Worked Minutes

  • Regular Hours

  • OT Hours

You can filter each column to focus on:

  • Specific therapists

  • Specific disciplines

  • A particular date or date range

These tools help DORs identify patterns such as under-billing, excessive non-billable time, or inconsistent workloads.


How Therapists Impact Productivity

Productivity is influenced by:

  • Daily Notes Submitted- Only submitted notes count toward billable minutes.

  • Clock-In/Clock-Out Behaviors- Incorrect punches distort productivity metrics.

  • Scheduling Patterns- Over- or under-scheduling impacts measured productivity.

  • Billing Code Documentation- Zero-minute billing codes reduce billable totals.


Common Questions

Why is a therapist showing low productivity?

Confirm whether all Daily Notes were submitted, clock-in/out punches were correct, and minutes were fully documented.

Why are billable minutes zero for a full shift?

This happens when notes remain in draft status or billing codes were entered with zero minutes.

Can productivity targets be adjusted?

Enterprise leaders may override productivity expectations for specific clinicians.

What if a therapist forgets to clock out?

Their shift will extend until midnight. They can adjust their own clock in/clock out time within the Labor Management tab.


Troubleshooting

If productivity looks incorrect:

  • Re-check clock-in/out times

  • Confirm Daily Notes were submitted (not just drafted)

  • Verify minutes were entered for every billing code

  • Review the therapist’s schedule for gaps or overloads

  • Refresh the report—some tables update after a short delay
