Use this guide if you want to:

  • Create saved messages that fill in names, dates, and contact info on the fly

  • Send fewer manual messages by letting Aloha do the work for you

Common questions this guide answers:

  • How do I add a patient's name to a message automatically?

  • Can I insert the appointment time or date into a message?

  • What is a replacement string?

  • How do I personalize bulk or saved messages in Aloha?

What Are Replacement Strings?

Replacement Strings are smart placeholders that automatically fill in info from your:

  • Contact details (like first name or phone number)

  • Appointment data (like date or time)

  • Account information (like business name or phone)

  • User data (sender’s email or name)

  • Review links (Google, Facebook, Yelp)

They help you send personalized, accurate messages—without typing it all manually.

✅ How to Insert a Replacement String Into Your Message 💬

  1. Go to the message editor in Aloha
You’ll see a section under the message box labeled "Replacement Strings."

  2. Use the first dropdown to pick your category:

    • Account – Business name, phone number, address

    • Appointment – Appointment date, time, type

    • Contact – First name, last name, email, phone

    • User – Sender’s info (name, phone, email)

    • Links – Google Review Link, Facebook Review Link, Yelp Check-In

  3. Use the second dropdown to select the exact info you want to autofill.

  4. Click “Insert”
The replacement string will appear in your message like this:
    ~Contact.FirstName~ or ~Account.PhoneNumber~

  5. Write the message around it normally.
You can add spaces, commas, or punctuation just like with any other text.

Example Message:
Hi ~Contact.FirstName~, please give us a call at ~Account.PhoneNumber~ if you have any questions!

When sent, it will read like:
Hi Sarah, please give us a call at (800) 563-0469 if you have any questions!

🎉 You’ll Know It Worked When:

  • Your message shows real names, phone numbers, or appointment times

  • You don’t have to fill anything in manually before sending

  • The same message works for different patients, automatically
